To facilitate the efficient administration of tenders and contracts by providing support to the Tenders department throughout the tendering process.
EDUCATION, TRAINING, SKILLS AND EXPERIENCE:
Minimum Qualification: Matric/ Grade 12
Tertiary Qualification: Will be advantageous
Experience in Tendering: Will be advantageous
Legal background will be advantageous.
Strong Microsoft office skills
Strong research skills.
Deadline driven.
Time management skills with the ability to prioritise tasks.
Strong business acumen.
Excellent verbal and written communication skills with the ability to convey messages in a clear and professional manner.
Flexible and able to adjust to new work structures, processes, and requirements as per each tender.
RESPONSIBILITIES
Tenders
Research for open tenders
Thoroughly read through tenders to determine if they are relevant to our business.
Convert tender adverts from PDF to editable documents.
Review contractual terms and conditions and tender documentation to identify specific requirements and ensure compliance.
Discuss the product requirements to be included as part of the tender documentation with the Product Managers and the Procurement Department to determine pricing and availability.
Keep up to date with competitive pricing matrix and limits.
Monitor tender developments to ensure that all documents are accurate, up to date, signed (if required) and submitted on time.
Manage tender correspondence in line with internal and external guidelines.
Create and maintain Tender Lifecycle Tracker Database with a won/lost analyses and identifying best practices to win tenders.
Update the tender’s database as required.
Maintain supplier database.
Manage the storing of all documentation relating to tenders.
Contracts
Review and update existing contracts with line supervisor.
Review contractual terms (listings and price escalation dates).
Ensure all deadlines and conditions described on contracts are met.
Discuss contractual requirements with Product Managers regarding pricing and increase requests.
Review sales history and determine the growth of current contracts.
