Back Office Manager

**Position Overview**: As the Back Office Manager, you will be responsible for overseeing the day-to-day duties of our debt counselling team, ensuring the smooth operation of client accounts under debt review. Your primary focus will be on managing the administrative functions, coordinating with team members, and ensuring compliance with industry regulations and standards. This role requires strong leadership skills, exceptional problem-solving abilities, and a commitment to delivering excellent customer service.
**Responsibilities**:
- **Team Management**:
- Supervise and provide guidance to a team of debt counsellors and payments personnel.
- Set performance targets, conduct regular performance evaluations, and provide coaching and feedback to ensure team members meet their objectives.
- Foster a positive work environment, encourage teamwork, and promote professional development among team members.
- **Debt Review Process**:
- Oversee the debt review process from the back office perspective, ensuring adherence to legal and regulatory requirements.
- Coordinate with debt counsellors to ensure thorough and accurate assessments of clients' financial situations.
- Monitor the progress of client accounts under debt review, providing guidance and support to debt counsellors as needed.
- **Client Account Management**:
- Maintain accurate and up-to-date client records, ensuring confidentiality and data protection.
- Monitor and reconcile payments received from clients, ensuring timely allocation to creditors.
- Collaborate with the payments team to resolve any payment discrepancies or issues.
- Handle escalated client inquiries or complaints, providing prompt and effective resolution.
- **Compliance and Reporting**:
- Stay updated on relevant industry regulations and ensure compliance in all aspects of debt review operations.
- Prepare and submit reports on key performance indicators, client account statuses, and team productivity to senior management.
- Implement and maintain efficient systems and processes to improve operational efficiency and accuracy.
- **Relationship Management**:
- Develop and maintain strong working relationships with creditors, ensuring effective communication and timely resolution of any account-related matters.
- Collaborate with external stakeholders, such as attorneys and credit bureaus, to facilitate the debt review process.
**Requirements**:
- 3 years experience as a back office manager within a debt review environment
- In depth knowledge and experience on the debt review process.
- Experience in Simplicity CRM (Advantageous)
- Strong leadership and team management skills, with the ability to motivate and develop team members.
- Excellent organizational and multitasking abilities, with a keen eye for detail.
- Exceptional problem-solving skills and the ability to make sound decisions under pressure.
- Excellent communication and interpersonal skills, with a customer-centric approach.
- High ethical standards and a commitment to maintaining confidentiality and data protection.
