**Our client, a South African trusted association for the HOSPITALITY INDUSTRY, representing all segments and all establishments under one banner, has a vacant position for an ADMINISTRATIVE OFFICER to join their team.**

The Administrative Officer will report directly to the Executive Officer.

**Requirements**:

- Grade 12.
- **Tertiary qualification in Hospitality Industry (Degree or Diploma from Accredited Training Entity).**:

- At least 3 years’ experience in a similar role.
- **Computer literate in MS Word (Excel, Word, Outlook, Power Point).**:

- **Accounting qualification or proven experience in Accounting/Bookkeeping.**:

- Fully bilingual (Afrikaans & English - read, write and speak).
- Extreme accuracy in executing tasks.
- Able to work under pressure and meet deadlines / self-driven and disciplined.
- Excellent attendance record / health.
- Professional personal appearance and work conduct.
- Own reliable car and valid driver’s license.

**Key Performance Areas (includes but not limited to)**:

- Reception and switchboard
- General office administration
- Maintain Member Database Masterlist:

- _New member welcome packs;_
- _Issue membership certificates;_
- _Deal with member queries;_
- _Deal with member CCMA queries and confirmations;_
- _Assist finance department with membership outstanding debtors follow-up;_
- _Maintain communications database;_
- _Maintain Xero Accounting System with membership information;_
- _Membership Invoicing (Members (new & existing batches), member events, golf days, etcetera._
- Member Onboarding:

- _Issue welcome packs;_
- _Issue membership certificates, etcetera._
- Membership Events:

- _Compile attendance lists;_
- _Prepare name labels;_
- _Member registrations._
- Maintain & Upkeep
- _Website member listings;_
- _Trusted partner listings;_
- _Create member log-in._
- Xero Accounting System
- _Assist with capture of backlog member details onto system;_
- _Load new members;_
- _Update cancelled members and archive;_
- _Update member details;_
- _Add membership numbers to system;_
- _Update payment queries on system;_
- _Send Emergency statements on member’s request;_
- _Update payment allocations from bank statement to Excel spreadsheet for PKF;_
- _Submit all queries on invoices and statements to Executive Officer (not to PKF)._

**Starting date**:1 May 2024, alternatively as soon as possible; thereafter, 15 May 2024 or 1 June 2024.
