Senior Administrative Officer

Duties/Pligte
Kantooradministrasie en -bestuur- Tree op as die departementele kontakpersoon (e-pos en telefoon) en bestuur van algemene navrae;- Verskaf algemene administratiewe en sekretariële steun aan die Departementshoof en personeel.
Finansiële administrasie- Verrig finansiële en administratiewe funksies ter ondersteuning van departementele projekte;- Prosessering van rekwisisies op die US se finansiële stelsel en ad hoc-betalings;- Bestuur van navorsingsrekeninge.
Administrasie van voorgraadse en nagraadse programme en studente- Skakeling met voornemende studente ten opsigte van voorgraadse en nagraadse programinligting en toelatingsvereistes;- Fasilitering van studente se registrasie soos nodig;- Koördinering van klas
- en toetsroosters en toesighouers;- Koördinering en laai van semester-, toets
- en eksamenpunte;- Skakeling met interne en eksterne eksaminatore en moderators.
Operasionele steun- Basiese webruimte-instandhouding;- Hulpverlening aan personeel ten opsigte van reis
- en verblyfreëlings;- Opname van navorsingsuitsette vir subsidies;- Skakeling met diensverskaffers ten opsigte van die instandhouding van kantoortoerusting.
Office administration and management- Providing general administrative and secretarial support to the Head of the Department and staff.Financial administration- Performing financial and administrative tasks in support of departmental projects;-
- Processing requisitions on SU's financial system and ad hoc payments;-
- Managing research accounts.Administration of undergraduate and postgraduate programmes and students- Liaising with prospective undergraduate and postgraduate students regarding general programme information and admission requirements;-
- Facilitating student registration as required;-
- Assisting with departmental class, venue and test timetables and organising test invigilators;-
- Collating, capturing and controlling exam papers and marks;-
- Liaising with internal and external examiners and moderators.Operational support- Basic website maintenance;-
- Assisting with travel and accommodation arrangements for staff;-
- Capturing research outputs for subsidies;-
- Liasing with service providers regarding maintenance of office infrastructure.Job Requirements/Pos Vereistes- Bewys van beroeps-toepaslike naskoolse kwalifikasie en/of ontwikkeling (toepaslike kursusse, ens.);- Minstens vyf jaar se sekretariële of administratiewe ervaring waarvan minstens twee jaar ervaring van administrasie binne die US moet wees;- Bewese organisatoriese beplanningsvaardighede;- Bewese vermoë om onafhanklik te werk en eie inisiatief te neem;- Ten volle vaardig in MS Office produkte (insluitend Word, Excel, Outlook, asook Teams);- Die vermoë om effektief in span-/groepsverband te werk;- Die vermoë om onder druk te funksioneer sonder om akkuraatheid in te boet.Proof of post-matric, career-relevant qualification and/or development (relevant courses, etc.);-
- At least five years' secretarial or administrative experience of which at least two years should be experience of SU administration;-
- Proven organisational planning skills;-
- Proven ability to work independently and take own initiative;-
- Fully proficient in MS Office products (including Word, Excel, Outlook as well as Teams;-
- The ability to work effectively in a group/team;-
- The ability to function under pressure without sacrificing accuracy.Recommendation/Aanbeveling- Ten volle tweetalig in Afrikaans en Engels.Fully bilingual in Afrikaans and English.
