
Programme Operations Manager

The Independent Institute of Education’s Central Academic Team (CAT) is responsible for the academic leadership and governance of the work done at the brands while each brand is managed as a business entity by its own divisional management team.
The IIE’s strategic imperative is to become the first private university in South Africa.
The IIE (Pty) Ltd is a wholly owned subsidiary of ADvTECH Ltd, which is listed on the JSE.
**The IIE’s Central Academic Team have a vacancy for a Programme Operations Manager at The IIE’s offices based in Sandton.**
**Reporting to**:
The Programme Operations Manager will report directly to the Head: Academic Operations.
**Key Purpose Statement**:
The incumbent project is to manage and coordinate the material development and delivery, including the delivery of Learn modules in collaboration with the brands, faculties, learn team and operations teams.
**Duties and responsibilities**:
**Project management of material delivery**
- Project manage the full life cycle of module delivery including briefing, development, editing, delivery and moderation per semester.
- Planning the key milestones per semester that will ensure that CAT delivers material to the brands by agreed to deadlines.
- Tracking the status of the briefing, development, editing, and delivery projects.
- Identifying delays timeously in the development, and delivery of module material and assessments.
- Escalating any risk modules to the Head: Academic Operations on any delays in material development and delivery that require interventions.
**Programme management and stakeholder management**
- Proactively communicate, track, manage information and compliance. Early flagging of any risk items associated to the relevant programme.
- Participating in governance meetings to ensure accurate record of programme changes as per policy and process.
- Forming and maintaining professional relationships with stakeholders (internal and external) to ensure timeous delivery on all projects.
**Programme administration: management of meeting agendas, release of key lists and reports and facilitating external reviews of modules**
- Drafting and releasing specified lists/agendas as per agreed timeframes and providing input into required faculty and governance meetings. Further facilitating external review of modules.
- Sending out the external review of assessments.
- Drafting and releasing the external moderation module list.
- Quality check of items for faculty boards.
- Creating and updating lists applicable to the brands, the faculties and operations team.
- Updating and releasing lecturer scope and CESM documents.
- Creating and releasing assessment briefs.
- Updating the IIE marketing posters.
**Programme Coordination Committee Meetings.**
- To effectively coordinate and facilitate Programme Coordination Committee Meetings in collaboration with the Heads of Programmes.
- Drafting annual PCC Schedule.
- Releasing the final schedule on Nexus to Brands, via IIE Connect and Tertiary HUB for Lecturers.
- Preparing documentation for meetings, namely, the agenda, draft minutes of previous meetings and academic reports.
- Sending meeting invites (including supporting documentation) to brands.
**Academic Master**
- Accurately updating and timeous management of the MIS in collaboration with all relevant stakeholders.
- Finalisation of the Qualification Guide in collaboration with all relevant stakeholders.
- Managing the full process of planning, creation and finalization of the academic master and the qualification guide per year.
**Qualifications**:
- Minimum: A Diploma (NQF Level 6)
- Ideal: Advanced Diploma / Bachelor’s Degree (NQF Level 7)
**Experience**:
Tertiary Academic Operations experience: 4 Years
