Office Management duties
- Answering external calls and transferring to relevant people daily (all reception calls are diverted to mobile device).
- Manage stock of office supplies and groceries: i.e. attain quotes, submit for approval, place orders, co-ordinate paperwork for payment.
- New starter orientation Welcome desk set up - Request welcome design from Trade, printing and collection, sourcing or shopping for welcome gift and packaging for desk set up.
- Office socials: shopping/sourcing, set-up (Monthly InTune, Easter, Christmas season, Easter, Sport, Black Friday, Station celebration etc.). Co-ordinate team support within CT office as and when needed.
- Petty cash: management and recon.
- Co-ordinate/check staff expense and fuel claims, submit for management approval, send to finance for payment.
- Managing relationships with vendors/service providers ensuring all items are invoiced and paid on time e.g. Transport transfers, Travel & Accommodation, Printers, Fumigation, Maintenance, etc.
- Office security checks before COB, windows, doors, lights, appliances etc.
- Arranging collection and sending of courier needs between CT office and head office or stakeholders, e.g. laptops, office collateral, gifts, branding, etc.
- Maintenance of photocopier, scanners and printers i.e. changing toner and placing orders for toner, setting up meetings with technician.
- Contact person for ADT (Office safety, technical issues/maintenance ) during and outside office hours (when and if required) - dual with management in CT office.
- Co-ordinating Travel arrangements - flights, accommodation, car rental reservations etc. between CT staff and head office.
- Management of office general assistant ( Lulama): checking office cleaning supplies, booking for additional hours when needed, communication of in office requirements, liaison with manager, arrange replacement (when required on leave days).
- Office keys and remote control allocation and maintenance e.g. replacing batteries.
- Liaise with Landlord on building needs e.g. plumbing, electrical, automated gates, etc. (during and outside of office hours when required).

IT Assistance
- Phones, printers, server room, & Internet connection.
- Troubleshooting and rebooting infrastructure when necessary

Trade marketing duties
- Liaise with the Sales team regularly to plan and implement Trade Marketing activities, e.g. roadshows, strategic engagements, events, agency drops, client birthdays, etc.
- Co-ordinating roadshows with respective media agencies/media secretaries.
- Collaborate with the relevant internal teams and external stakeholders to execute Trade Marketing campaigns. i.e. implementation of planned activities/celebrations.
- Finding Cape Town based suppliers to assist with trade requirements e.g. promo collateral, caterers, printing, production, etc.
- Implementing of trade marketing collateral requirements with suppliers e.g. Jetline, The Sign Company, Amazing Parties, etc.
- Attends trade marketing activations (when required to assist).
- Trade marketing shopping and set ups at agencies (when required to assist).
- Sourcing and delivering of internal and external gifts e.g. staff farewell, new staff arrival, baby showers, condolences, events etc.
- Organising celebrations for Mediamark and stakeholders e.g. Year-end functions, fiscal celebrations, monthly magnum moments, potjie kos, farewell, Black Friday, Most awards drops, relaunch, etc.

**Salary**: R18 000,00 - R20 000,00 per month

- Diploma (preferred)
