To direct the delivery of mandated Events projects within different Business Units (BU) teams, while providing leadership on Event Management expertise within Strategic Marketing. To work closely with the CVM teams, driving an integrated approach to all Events planned and executed. The Event projects include client and colleague events locally and international (including incentive trips up to 120 people).

Events Planning

Discuss the Event brief when meeting the client to understand what event they wish to have and why this would help the BU achieve their aims and objectives.

Clearly define the roles and responsibilities on the Event Brief, to support various BU's and executive members by understanding their business aims and objectives. Clearly contract via the Event Brief with the client what you are responsible for and what they will be responsible for in the implementation of the project.

In collaboration with the client, compile a stakeholder map for all the stakeholders (e.g. employees and customers) required to participate in the event.

Plan and create an event independently or source an appropriate supplier,
- from the list of Absa’s preferred suppliers, who will best
- be able to assist in meeting the clients aims and objectives.
- Present event concept recommendations to the client for them to select their preferred approach to implement. Address all queries that they may have in order to make the most suitable decision and where needed provide guidance on which could be the most suitable choice in terms of the expected return on investment.
- Obtain the approval on the approach and assign roles to project team members, where applicable, as per activities on project plan (suppliers included).
- Prepare project plan
- Ensure that all new information relating to the Absa Brand has been understood so that the Event will contribute to building on Brand experience.
- Agree on budget approval and get a signed off budget commitment from the BU.
- Ensure high service quality and customer satisfaction is maintained at all times by constantly communicating time frames to all internal and external team members involved in the Event.
- Develop events that build loyalty and advocacy with internal and external customers.
- Ensure 100% adherence to Absa Compliance policies and requirements utilising agreed internal and external supplier through a project methodology and adhering to Group Sourcing and Events Policy thereby minimizing any direct risk to Absa.
- Design and implement events portfolio in support of sponsorship activation plans.
- Work with the Brand team, advise business on the correct Brand VI for event productions.
- Work with Strategic Marketing to deliver event production capability as needed.
- Work closely with the Communications teams on the publicity around events to ensure integrated approach and output.

- Implement the approved concept proposal following all the terms and conditions discussed with the client in the planning phase.
- Manage rsvp process
- Capture CE’s from approved suppliers onto the SAP System.
- Win the confidence of internal and external stakeholders by communicating on all aspects of the event (Bookings confirmed, RSVP's received, contracts signed, etc.) to relevant stakeholders timeously.
- Monitor deliverables of team members as per project plan and provide regular project status feedback to the project team.
- Ensure that any project scope changes follow the formal process (new approvals to be received from client if change in budgets or any other changes that might effect a successful event).

- Meet all agreed financial perspectives by staying within approved signed off budgets by regularly monitoring and tracking expenditure.
- Prepare and present the closure report to the project team, extract the lessons learned and add these to the closure report. On completion of the event, present the report to the client and all relevant stakeholders to give the client the relevant feedback if their event was a success or not and to see if their aims and objectives were indeed meet.
