Talent & Training Administrator

**Job Purpose**
The purpose of this role is to provide administrative support to the training and talent functions within ChangeFolio, aligned to achieving the strategic objectives of the organisation, both locally and globally.
**Roles and Responsibilities**
**Training**
**Training Co-ordination**
- Learner co-ordination for both practitioner and business pathway interventions, including:
- Creation of MS Teams site for each Practitioner and Business Pathway intervention.
- Submission of learner lists to Marketing for automation of Academy registration.
- Uploading of learner log-in and password files to MS Teams.
- Real-time training facilitator support (updating of session attendance and rescheduling of learners where necessary).
- Distribution of training programme invites on behalf of Facilitator.
- Engaging client contacts regarding attendance issues and scheduling / rescheduling requirements.
**Training Administration**
- Creation of Certificates of Attendance, Learner Badges and mailers for distribution to all delegates at the conclusion of training.
- Follow-up and engagement with Learners regarding training and admin related issues or queries.
- Ensuring Facilitators upload Daily Attendance Registers into the respective MS Teams folder.
- Assisting Head of Training and Facilitators with any ad hoc administration as and when required.
- Maintain up-to-date information in the Microsoft Teams shared site, ensuring all training-related documents, attendance records, and communications are accurately reflected for reference by facilitators and other relevant stakeholders.
**Talent**
**Breezy Platform**
- Tagging of Consultants skills, qualifications, projects, and expertise on breezy.
- Maintenance of talent data integrity and talent systems (filing and folder taxonomies).
- Resource correspondence relating to recruitment and onboarding processes as well as collateral follow up and communication.
- Initial screening of CVs coming through Breezy/Career's mailbox.
- Uploading of all resource collateral onto Teams and/or Breezy system.
**Consultant Contracts**
- Drafting, updating, issuing and maintenance of consultant contracts.
- Filing of all consultant contracts on Teams, using the correct naming conventions.
**Consultants Checks & References**
- Conducting checks and work references.
**CVs**
- Drafting, editing, formatting and reviews of consultant CVs.
- Filing and maintenance of CVs on the talent system.
**Consultant On-boarding**
- Facilitating an onboarding process for all new consultants.
**Reporting**
- Consolidation of monthly talent data for analytics and reporting.
- Additional ad hoc talent administration requirements.
**Technical Competencies and Skills**
- Strong administrative skills.
- Proficient in working with Microsoft Teams, Excel and PowerPoint.
- Strong technological orientation (comfortable working with multiple systems and working remotely).

**Education**
- Essential: Matric or equivalent.
- Desirable: Training, HR or related qualification.
**Experience**:
- Essential: 2-3 years' experience in an administrative role.
- Background working within a training environment will be beneficial.
- Desirable: Recruitment/HR experience.
- Desirable: Working with training regulatory bodies.
**Working Conditions**
- Full time, 40 hours a week for Head Office, JHB.
- The role will require a hybrid approach, mostly remote working with some requirement for on-site working.
- Attendance of virtual and in-person team meetings.
- Attending of work events as scheduled.
