THE ROLE

As the People Office Administrator at Entersekt, you will be a support to the People team and one of the points of contact for People-related queries from employees. You must be able to juggle priorities simultaneously and be extremely organised, yet flexible in your approach to the daily tasks. It is important in the role to be tech savvy and have an affinity to grasp and learn online tools quickly. Most importantly, you need to ensure that you treat HR and employee information with the utmost confidentiality and discretion.

RESPONSIBILITIES
- Manage new employees' onboarding on BambooHR (HRMS) by ensuring employees' accurate personal details are collected and notifying internal stakeholders.
- Ensure a well-organized onboarding experience for all new employees with regular and informative communication.
- Manage the offboarding process of exiting employees by collecting the relevant information and informing internal stakeholders.
- Setup employees' leave on BambooHR and assist with leave queries as per internal leave processes and policies.
- Keep all People Office information platforms (SharePoint, Confluence, HR calendar etc.) up to date.
- Support the Talent Acquisition team with recruitment administration, including:

- Greenhouse system administration, interview scheduling, CV/profile screening, loading job postings, etc.
- Maintain the Talent Acquisition online filing system, including updating hiring templates as needed.
- Follow up with stakeholders on job description proof-reading, approvals and scorecard completion.
- Keep track of referral fees and ensure referral fees are paid when due.
- Draft Contractor agreements and Internship agreements when needed.
- Support the People Office with compliance administration and reporting required by the South African government, including but not limited to: Skills Development reporting, StatsSA, Health and Safety, B-BBEE, and UIF.
- Training administration including drafting training, learnership and bursary agreements, assisting with training coordination and coordinating training and internship programmes like YES4Youths.
- Assist the People Office and other departments with HR statistics for reporting purposes.
- Carry out administration tasks like DocuSign requests and creating surveys.
- Assist employees with HR queries and draft HR letters (notification letters, confirmation of employment etc.) as requested.

SKILLS & EXPERIENCE
- 2+ years' work experience in a Human Resources administration or support role
- Experience with HRIS systems (e.g BambooHR, Lattice)
- Degree in Human Resources or relevant field
- Excellent verbal and written English communication skills
- Able to work with high levels of confidentiality and discretion
- Able to multi-task and context switch with ease
