Front Office Administrator

**Location**: Stellenbosch
We are a distinguished urogynaecology practice in Stellenbosch seeking an experienced and dynamic Front Office Administrator to join our team. The role requires a professional individual with exceptional administrative and communication skills and a long term commitment to delivering outstanding patient service.
**Key Responsibilities**:
**Reception**:
- Answer all incoming calls professionally and efficiently.
- Take and relay messages accurately and ensure follow-up by the appropriate personnel.
- Maintain a logbook of issues, messages, and daily matters.
- Confirm and schedule patient appointments.
- Manage the doctor's diary, including appointment bookings and billing policy communication.
- Prepare files for the next day’s appointments and weekly theatre list.
- Welcome patients with a friendly and professional demeanor, managing expectations regarding time delays.
- Update patient details and obtain new information as required.
- Open and accurately capture new patient accounts in the Goodx system.
- Contact other healthcare providers for patient notes and referral letters as needed.
- Obtain and process patient results and related correspondence.
- Provide necessary information and forms for in-room procedures or hospitalizations.
- Prepare quotations for patient procedures and handle medical aid authorizations.
- Assist with the preparation of doctors’ reports and thank you letters.
- Keep track of stock for each doctor and maintain a neat and orderly practice environment.
**Accounts**:
- Bill patients and collect payments as necessary.
- Process cash and card payments and issue receipts.
- Allocate patient payments and liaise with the Bureau for patient-related queries and debt collection.
- Maintain petty cash and an attendance register.
**General Administration**:
- Schedule administrative appointments with the doctor and service providers.
- Liaise with contractors, including hospital technical departments, IT specialists, and suppliers.
- Maintain supplier contracts and agreements.
- Assist the doctor with various office administrative tasks.
**Requirements**:
- 3+ years of office administration experience in a medical practice.
- Strong proficiency in administration with strong organisational skills.
- Neat, professional, and presentable appearance with excellent interpersonal skills.
- Excellent customer service, communication, and telephone etiquette.
- Reliable, approachable, and adaptable with a patient demeanour.
- Strong computer skills, including typing and detailed report writing and filing.
- Valid driver’s license and own transport.
- Resident of Stellenbosch or surrounding areas.
**Education**:
- High School Diploma (Matric) (required).
**Languages**:
- Afrikaans (required).
- English (required).
