Role summary This position is accountable for HR administration and supervises the work of the HR administrators and filing clerk to ensure that HR administration is effective and efficient. This role will encompass administration, record keeping and working with information management systems in the HR department.

Key performance areas
Working on the Elma System
- Oversees employee pre boarding, on boarding, employee lifecycle changes and termination on Elma (on-boarding portal and Elma)Accountable for ensuring that data on Elma is complete, accurate and timeous at all times.Acts as a super user on Elma by maintaining relevant data tables (eg Job Code, Rank etc)Oversees monthly HR reporting (monthly, ad hoc and global), for example o Global quarterly D&I data o Requests for data in support of local and global tenders and proposals o BBI o Ad hoc reports (local and global) o Monthly headcount, new hire and termination reports o Monthly Report for IT Helpdesk inactive employees with active access cards (1st & 15th of each month) o Monthly report of overdue workflow for Head of HR o Annual long service report (January) o Annual retirement report (January)
Payroll and Employee Benefits administrationOversee the timeous submission of correct and complete paperwork to the payroll departmentOversee the management of staff advances, ensuring these are processed in accordance with the relevant policy.In collaboration with the DEI, Benefits and Wellness consultant, coordinate annual/biannual medical aid benefit option change process AdministrationOversees the preparation of accurate and correct routine written correspondence relating to HR for approval by the HRBP, for example o Letters of appointment (permanent and fixed term) o Addendum to contract of employment o Acknowledgement of debt o Study assistance agreements (employee, dependent and relative) o CA correspondence (offer of articles and FTC appointment) o Increase letters o Director service agreements (ordinary and preference shareholders) o Consultant agreements o Confirmation of employment o Visa letters o Any other HR-related correspondence 2Oversees the drafting of non-standard HR communication and letters that fall within the HR Administration ambitOversee the timeous submission and payment of invoices by Finance for general ledger accounts relating to HRAccountable for maintaining a register of employee, dependent and relative study assistance to ensure receipt of results and compliance with contractual service.Accountable for ensuring that data is updated to the BEE 123 system every month to keep track of the firms BBBEE scoreAccountable for collating and submitting the documents necessary for the BBBEE annual auditAccountable for assisting Finance to respond to any HR-related enquiries arising from the annual financial audit.Point of contact for MIE accountable for allocation of costs to departments and teamsAccountable for ensuring that information on the Business Development and HR folder is up to date at all timesSubject matter expert for global mobilityAccountable for preparing annual submission to the salary surveyAccountable for ensuring that all hard and soft copy HR filing is up to date and filed correctlyResponsible for ensuring that all HR templates are up to date
Engagement and orientationEnsure employment contracts and engagement packs for all staff are prepared within agreed timelines, under supervision of the HRBP.Facilitate the pre-boarding/induction process for new joiners.
