**Job Advert Summary**:
The Human and Social Capabilities research programme within the HSRC employs a multi-disciplinary group of social scientists and public health specialists who conduct numerous empirical and policy-related studies each year, three-quarters of which are donor-funded.

The Human and Social Capabilities division conducts transdisciplinary, intersectional, policy and programme-relevant research to improve health, well-being and promote a socially just and cohesive society.

The HSC programme seeks to appoint a dynamic individual with a Matric and a relevant post-matric qualification in fields such as Office Management or Administration will be advantageous; and a 3-year appropriate administrative experience. The incumbent will work and support a dynamic HSC team of researchers, and other divisional administrators in the HSRC community. The incumbent will be based in the **Pretoria office**.

**Minimum Requirements**:

- Grade 12 (National Certificate);
- A relevant diploma or post matric qualification in fields such as Office Management or Administration will be advantageous;
- Three to five years’ experience in a similar environment;
- A proven track record, and significant knowledge and understanding administrative best practices;
- Assist the division with the appointment and administration of short term contracts;
- Assist with ad-hoc audits and checks as prescribed by the division and the HSRC;
- Work in conjunction with the divisional manager, office of the divisional executive and senior personnel and help with the administration pertaining to the whole of the HSC division;
- Assist with travel planning, arrangements for various HSC employees;
- Assist with assisting with the administration and planning for big multiyear research recruitment drives;
- Advanced computer literacy/proficiency across the MS Office suite;
- Sound administrative background;
- Good communication as well as excellent inter-personal, skills.
- Must possess excellent presentation skills.
- Must be a self starter, driven, have the initiative, flexibility, and a proven track record to handle pressure;
- and a commitment to service excellence to stakeholders.

**Duties and Responsibilities**:

- Provide efficient administrative and organizational support to the various projects and activities where the Project Managers are based in Pretoria and regional offices as well as support to national projects; Maintain databases, file project related documents and keep databases;
- Maintain assets database for the Pretoria office and ensure that assets in the office are properly managed;
- Preparation of agendas and materials for meetings; minute taking and record keeping of proceedings;
- Assist with logístical responsibilities including post, courier, office management, reception of visitors;
- Assist with the intake and appointment of short-term employees;
- Assist with management of employee data engagement and for capture;
- Facilitate printing, equipment and other project requirements;
- Liaise with HSC administrative staff in all other centres;
- Ensure that time billing is up to date for staff assigned;
- Process claims and payments;
- Facilitate travel arrangements for researchers and other employees in all HSC centres where assistance is requested and project-based travel when required.
