Administrative Assistant

The Kazin Trading Group is looking for an admin assistant to assist with the following tasks:
**MASTER RECORD KEEPING**:
- Do a physical count of the stock in the yard weekly, ensuring this count ties up with the unit tracker yard stock;
- Create and repair Excel spreadsheets which are used to implement a process/maintain a system.
- Ensure leases are filed with delivery notes for all rentals.
- Ensure refurb checklist is completed for all returning rentals and follow up on repairs to units if not completed.
- Ensure that unit movements are sent for all units leaving factory from George to the various branches so that we know where all units are.
**OFFICE MANAGEMENT**:
- Keep the office in a tidy and clean state by managing the employee tasked with cleaning the office;
- Maintain sufficient stationery, cleaning products and tools necessary to run the office;
- Task the employee who cleans the office to “spring” clean cupboards, fridge, microwave every so often;
- Keep the office in a presentable state for customers;
- Keep filing up to date and ensure all desks are kept in a presentable condition;
- Help walk in customers;
- Assisting the sales representative with admin related tasks.
**MARKETING**:
- Update the business Facebook page weekly. Get authorization from the sales representative before uploading any content for their area;
- Create and maintain Gumtree advertising for stock seized from outstanding debtors.
- Fillout tenders and gather supporting documentation for each submission.
**GENERAL**
- Ensure all units in the yard have keys and tags attached. This forms part of the weekly count.
- Maintain an order number list to be utilised for all orders from 30 day account suppliers;
- Create and repair Excel spreadsheets needing an upgrade;
- Perform any other task assigned to you.
**Salary**: R11,000.00 per month

- Stellenbosch, Western Cape: Reliably commute or planning to relocate before starting work (required)
**Education**:
- High School (matric) (required)
**Experience**:
- Administrative office procedures, practices and equipment: 2 years (preferred)
