Administration Assistant
**Job Summary**:
The Administration Assistant will provide comprehensive administrative support in managing property sales, remortgages, and related tasks within the property management sector. This role involves coordinating with internal teams, maintaining accurate records, and ensuring compliance with internal processes while delivering high standards of service.

**Processing Property Sales & Remortgages**:
- Assist with pre
- and post-sales tasks for properties within estates under management.
- Manage and coordinate replies to pre-sale and remortgage enquiries, ensuring timely and accurate responses.
- Collaborate with property managers and other teams to provide up-to-date property-specific information.
- Process Notices of Transfer and Charge, update ownership records, and handle other post-sales activities.
- Process invoices and record payments related to pre-sales and post-completion activities.
**Administrative Support**:
- Assist property managers, finance, and major works teams with enquiries regarding lease interpretations, disputes, and Land Registry searches.
- Maintain accurate computerized and manual records for leasehold ownership and property details.
- Update tickets in property management software to ensure timely task resolution.
- Develop and maintain professional relationships with external stakeholders such as solicitors, insurers, and surveyors.
**General Responsibilities**:
- Manage KPIs, including income generation for administrative activities.
- Participate in team, departmental, and corporate project planning processes as needed.
- Ensure compliance with Data Protection legislation and maintain confidentiality at all times.
- Undertake additional tasks as reasonably assigned by the employer.
**Qualifications**:
- Relevant experience in property management administration or a related field.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proven experience handling high volumes of administrative tasks.
- Proficiency in property management software and Microsoft Office Suite.
**Skills**:
- Attention to detail and accuracy.
- Ability to work independently and collaboratively.
- Strong problem-solving skills.
- Capability to manage multiple priorities effectively.
**Benefits**:
- **Working Hours**: 09:00 to 18:00 SAST, Monday - Friday.
- **Salary**: R20,000 per month (depending on experience).
- **Leave**: 15 days annual leave (plus public holidays).
- **Contract**: Permanent.
**Additional Information**:
This is a remote role requiring residency in Cape Town due to occasional office visits in Stellenbosch. Reliable internet access during working hours and during periods of extended load shedding is essential.
