We are seeking a highly skilled and experienced **Commercial Operations Executive Assistant** to provide strategic and operational support to the Director. This role is pivotal in ensuring the smooth functioning of our business operations while driving growth through commercial activities such as proposal and tender preparation, HR coordination, and financial administration.

**Job Summary**:
**Key Responsibilities:Business Development & Commercial Support**
- Assist in identifying and pursuing new business opportunities, including researching potential clients, partnerships, and markets.
- Lead the preparation, coordination, and submission of high-quality proposals, bids, and tenders, ensuring compliance with client requirements and deadlines.
- Track and monitor tender opportunities, deadlines, and submission statuses, maintaining a pipeline of business prospects.

**Executive Support**
- Organize and prepare for meetings, including agenda setting, taking minutes, and following up on action items.
- Coordinate the Director's workflow and priorities to ensure the smooth running of daily operations.

**HR Coordination**
- Support HR processes such as recruitment, onboarding, and maintaining employee records.
- Assist in drafting HR policies and procedures in line with company needs and compliance requirements.
- Coordinate staff training schedules and performance review processes.

**Finance Administration**
- Assist in budget preparation, expense tracking, and financial reporting.
- Liaise with external accountants and finance teams to ensure timely submission of payroll, invoices, and financial documentation.
- Maintain accurate records of financial transactions and support the Director in financial planning activities.

**Operational & Organisational Efficiency**
- Develop and implement systems to streamline internal workflows and improve operational efficiency.
- Manage office resources and ensure a productive and professional work environment.
- Serve as a point of contact for external stakeholders, maintaining strong relationships with clients, vendors, and partners.

**Required Skills and Experience**:
**Education & Qualifications**:

- Bachelor's degree in Business Administration, Commerce, Project Management, or a related field.

**Experience**:

- At least 3-5 years of experience as an Executive Assistant, Business Coordinator, or similar role, preferably in a commercial environment.
- Proven experience in business development, proposal writing, or tender preparation is essential.
- Strong knowledge of HR processes and financial administration within an SME context is highly desirable.

**Skills**:

- Exceptional organizational and time-management skills with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills, with the ability to prepare professional documents and correspondence.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM or project management software.
- Strong attention to detail and ability to work under pressure to meet tight deadlines.
- Analytical mindset with the ability to handle financial and operational data.
- Self-motivated, proactive, and solution-oriented.
- Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
- Passionate about contributing to business growth and operational excellence.
- Highly adaptable and comfortable working in a fast-paced SME environment.
