Position status: We are looking for an experienced project controls administrator with project controls experience to join our growing team in Cape Town, South Africa.

The opportunity

Project: Cape Town - (Please provide project details).

The role is based in our regional office situated in Cape Town CBD and provides remote support to multiple projects as well as general office administration duties.

Joint reporting to the senior project controls officer and the regional director, the incumbent will be able to provide full, effective support of project administration and document control via the project control system and support the project teams as required.

Your responsibilities will include:

- Managing the project lead’s diary and project team mailbox and calendar.
- Organising documents, equipment, and refreshments as required.
- Coordinating travel arrangements and itineraries for the project team.
- Liaising, ordering and managing personal protective equipment for internal staff and visitors, maintaining the visitor’s equipment via a register and lockable storage.
- Overseeing the courier services.
- Assisting in the setup and maintenance of the project office functions including managing third-party suppliers, printers, IT equipment, and refreshments.
- Coordinating project and or office events.
- Managing the project archiving.
- Supervising and assisting with onboarding new starters.
- Monitoring and maintaining the company's electronic filing system, ensuring files are correctly named, dated and documents stored clearly.
- Monitoring and maintaining the office stationery supply and requirements regularly reviewing stock and the team’s requirements and discussing order values if irregular with the regional director.
- Monitor and maintain information security policies.
- Assisting in health safety and well-being (HSW) standards within the project office, undertaking HSW inspections within the office demise to identify potential shortfalls of facilities.
- Producing and updating project documentation including training register, project directory, asset register, team organograms and etc.
- Producing regular project reports via predefined data exports into predefined and redefined reporting templates.

About you

With a relevant degree qualification, you will take personal development seriously and be chartered or pursuing a similar level of professional qualification. You will have training provided by the information management team (IMT). You are knowledgeable of Aconex, Conject or A-site system.
