Role Description About the Role Take Note Event Management is looking for a highly organised and motivated Administrative Assistant to join the team from January. This is a full-time half day position with the potential to grow as the business continues to expand. You will be the right hand to the Managing Director and play a key role in supporting the smooth running of day-to-day operations and event administration. The ideal candidate is reliable, proactive, solution driven, calm under pressure and genuinely enjoys structure, accuracy and working with numbers. You will assist across multiple projects and events throughout the year, including onsite support at conferences and workshops. Location Based in the West Rand in Allens Nek. Candidates must reside in nearby areas with easy daily access to the office and to event venues when required. Key Responsibilities Administrative Support General office administration including correspondence, follow ups and document management. Drafting emails, preparing reports and assisting with communication across stakeholders. Supporting the MD with task coordination, scheduling and prioritisation Excel and Financial Administration Creating and managing spreadsheets for costings, reconciliations, budgets and reports. Assisting with bookkeeping tasks including capturing expenses, managing invoices and reconciling payments. Working closely with accountants to prepare documentation and maintain clean financial records. Event Support Assisting with delegate registrations, supplier coordination and preparation of event materials. Supporting the MD with behind-the-scenes logistics and administrative structures. Onsite support at events, conferences and workshops throughout the year. Managing forms, checklists, supplier documents and onsite administration. Operations and Systems Maintaining internal systems and documentation. Helping streamline processes and reduce admin pressure on the MD. Managing information flow to ensure nothing falls through the cracks. Required Skills and Experience Intermediate level of experience in administration, operations or office support Strong Excel skills, including confident use of formulas and data management Previous bookkeeping or financial administration exposure Excellent organisational ability with strong attention to detail Friendly, outgoing personality with excellent interpersonal skills Strong written and verbal communication Ability to multitask and remain composed under pressure Own transport and the ability to attend onsite events Non smoker (this is a non negotiable requirement) Personal Qualities We’re looking for someone who is: Warm, approachable and comfortable engaging with people Dedicated, reliable and proud of their work Structured, detail focused and naturally organised Calm under pressure with a can do, solutions based attitude A supportive team player who enjoys being at the centre of admin, logistics and operations Eager to learn, grow and take ownership Salary The salary will start at an entry to mid level range based on experience, with room to grow as the role develops. Compensation is open for discussion with shortlisted candidates. Working Hours This is a full-time half day position based at the office, with additional hours required during events.
