Front Desk Administrator / Receptionist Warbie City of Johannesburg, Gauteng, South Africa WARBIE is looking for a polished, organised, and service-driven Front Desk Administrator / Receptionist to oversee the studio’s front‑of‑house experience. This role blends reception duties with broader administrative support across Marketing and PR, Rentals, and Couture. The ideal candidate is someone who thrives in a creative, fast‑paced environment and takes pride in delivering a seamless, premium client experience. Key Responsibilities Front of House and Client Experience Welcome clients, visitors, and vendors in a warm and professional manner while upholding the WARBIE brand experience. Manage consultation bookings, fitting schedules, and gown collection or return appointments. Handle incoming calls, emails, and walk‑in enquiries promptly and professionally. Maintain a polished reception area and assist with preparing refreshments for VIP appointments when needed. Manage POS transactions, invoices, card payments, and issuing receipts. Assist with online booking tools, website enquiries, WhatsApp messages, and any digital client communication. Prepare client files, forms, and documentation ahead of consultations or fittings. Administrative Support for Rentals and Couture Coordinate pickup and return schedules for rentals, ensuring accurate documentation and gown condition checks. Assist the Couture team with administrative tasks such as client measurement updates, production notes, delivery timelines, and follow‑ups. Track the status of garments in progress and communicate updates to the relevant team members. Support with creating client quotes and invoices, and follow up on outstanding information or payments. Maintain digital and physical filing systems, including client folders, rental agreements, measurement sheets, and design briefs. Marketing and PR Administration Assist with capturing behind‑the‑scenes content or short clips during studio activities when requested. Support the Marketing team by logging client testimonials, updating databases, recording content requests, and assisting with small studio events. Help coordinate influencer and PR drop‑offs, courier collections, and branded package preparations. Track studio inventory needed for photoshoots or content days and flag low‑stock items. Assist with maintaining contact lists, media sheets, marketing folders, and campaign documentation. General Office Administration Monitor office supplies, stationery, cleaning stock, packaging materials, and refreshments, and place orders when necessary. Manage courier dispatches, collections, and follow‑ups to ensure prompt deliveries. Update staff calendars, consultation schedules, and shared internal documents. Assist with basic data capturing, spreadsheet updates, and reporting. Provide general daily support to ensure smooth studio operations. Requirements 2 to 3 years of experience in administration, reception, or front desk roles. Experience in fashion, creative, hospitality, or luxury service environments is an advantage. Strong verbal and written communication skills. A professional appearance and a warm, confident, client‑focused manner. Comfortable using email, spreadsheets, online booking systems, and card machines. Strong organisational skills with excellent attention to detail. Ability to handle multiple tasks while maintaining a calm and efficient workflow. Reliable, proactive, and comfortable working independently while supporting a team.
