Operational Assistant

Responsibilities:

Drive for General HO Requirements:

  • Assist in coordinating and fulfilling general administrative needs of the Head
Office (HO).

  • Ensure timely and accurate completion of assigned tasks and projects.
  • Maintain confidentiality of sensitive information.
  • Driving around for food parcels, care parcels or any other adhoc requests
  • Get quotes on food parcels and care parcels
  • Take pictures and keep record of the pricing and who the parcels went to

Assist Operations with Stores:

  • Assist operations team with consolidating reports for the stores
  • Assist with ensuring the stores TV license are up to date
  • Ensure the Fire Extinguishers are up to date and arriving services for the Fire
Extinguishers if needed.

  • Consolidating feedback on the super BM group
  • Assisting with resolving any queries where possible on the whatsapp group
  • Consolidating a weekly list of maintenance in the stores and following up with the RSMs to ensure they are sorting the maintenance out

HO Quotes:

  • Assist in preparing and organizing quotes for Head Office requirements.
  • Coordinate with relevant departments to gather necessary information for quote preparation.
  • Obtaining 3 quotes for approval on all HO issues that need to be resolved.
  • Ensuring all department have the consumables they need.
  • Consolidating a list of items needing maintenance done and getting quotes to be resolved.
  • Ensure accuracy and completeness of all quote documents.

Vehicle Maintenance:

  • Support the maintenance and upkeep of company vehicles.
  • Doing random spot checks on the vehicles
  • Getting the license updated on the vehicles
  • Manage the fuel cards with Nedbank and ensuring all transactions are recorded
  • Schedule regular servicing, repairs, and inspections as required.
  • Maintain records of vehicle maintenance activities and expenses.

Recruitment:
Advertise Vacancies

  • Assist the Talent Manager in advertising job vacancies through appropriate channels.
  • Coordinate with the talent manager to ensure job advertisements comply with company guidelines.
  • Sending a list of jobs available to the Marketing company to advertise on FB and add in the newsletter.
  • Monitor responses and assist in scheduling interviews as necessary.

Electricity Meters Check:

  • Conduct regular checks of electricity meters to ensure accuracy.
  • Report any discrepancies or issues to the appropriate department.
  • Maintain records of meter readings and usage.
  • Request electricity to be bought when running low

Book Regas of Fire Extinguishers:

  • Schedule and coordinate the regular maintenance and recharging of fire extinguishers.
  • Ensure the Fire Extinguishers are up to date and arriving services for the Fire
Extinguishers if needed

  • Maintain accurate records of fire extinguisher maintenance and compliance.

IT Requests:

  • Assist employees in submitting ITrelated requests and issues.
  • Keeping record of all the IT requests logged via Jitbits with the quote number, the price, if it was approved or declined and a short description of the issue.
  • Logging all jitbits for all departments and giving feedback on when resolved or feedback from the IT company
  • Coordinate with the IT department to ensure timely resolution of requests.
  • Maintain a log of IT requests and their status.

Quotes for General Use:

  • Assist in obtaining and organizing quotes for general office supplies and equipment.
  • Assist in obtaining and organizing quotes for store and office maintenance.
  • Sending 3 quotes for approval.
  • Following up on quotes until resolved.
  • Compare quotes, negotiate pricing, and recommend costeffective options.
  • Maintain records of quotes and purchasing activities.

Google Reviews:

  • Monitor and respond to customer reviews and feedback on Google platforms.
  • Work with the service team to address customer concerns and enhance online reputation.
  • Logging a workflow to the service team for any negative reviews
  • Consolidating a list of 5 star reviews for the newsletter
  • Answering each and every customers google review
  • Managing that all reviews come to Ubrall
  • Updating details for google reviews
  • Sending out the google reviews done on the Maverick regional incentive group.
  • Report significant feedback or trends to management.

Stocktakes when Required:

  • Assist in conducting stocktakes in all stores on handsets, laptops, prepaid devices ,accessories and simcards.
  • Resolving all variances before leaving the store.
  • Sending report on the stock take completed in the store to NOM and Stock manager.
  • Ensuring that demo unit open devices are in the box.
  • Ensuring there is no shortages or overs.
  • Investigating all variances.
  • Generate reports and make recommendations based on stocktake findings.

Store Audit Checklist:

  • Develop and maintain a checklist for store operations.
  • Conduct regular audits to ensure compliance with company policies
