1. Purpose


To assist in coordinating workshop incoming and outgoing machines - coordinate the link between Logistics, Admin, Stores and Workshop to ensure efficient throughput of units through the workshop.


2. Key performance areas

2.1 Parts request and tracking - Check availability of stock

2.2 Logistics - Confirm weekly forecasting for logistics

2.3 Workshop planning - Plan machines for technicians to turn

2.4 General Planning - Plan service, Load test, PDI and maintenance jobs through the workshop, based on parts availability, load plans, and workshop capacity

3. Delegation of Authority
Prevention of unsafe machines being planned for rental.

4. Role

The incumbent is responsible for the following:

Parts order and tracking

  • Check availability of parts in store
  • Place order with stores for upcoming projects
  • Coordinate with stores to place daily orders for machines currently being repaired and serviced.
  • Check updated ETA's on all orders and outsource work and coordinate with workshop when to start with jobsLogistics
  • Liaise with logistics on incoming machines and prioritize accordingly
  • Conduct weekly forecasting of machines
  • Do daily planning in conjunction with logistics
  • Report possible nonsupply immediately
  • Arrange outsource repair work with transport requiredWorkshop Planning
  • Plan machines for technicians in turn in conjunction with part availability
  • Admin duties on D365 relating to jobs.
  • Pick parts for workshop techs and ensure parts are available when units are planned in the workshop
  • Control the Performance board in the workshop to ensure communication on planning, KPI performance of the workshop, upcoming jobs etc.
General Planning

  • Plan services, load tests PDI's and maintenance jobs
  • Coordinate these based on parts availability, load plans, and workshop capacity
    5. Skill Required

6. Qualifications
6.1 Grade 12 or equivalent.

6.2 Tertiary qualification in logistics or planning advantages.

7. Experience
7.1 Minimum 3-5 years' experience in a similar role.

7.2 Experience in a similar industry is an advantage.

8. KPI
Standard KPI structure with deductions for inaccurate planning, parts not requested within 24hrs of incoming inspection completed, paperwork and 100% of incoming machines allocated and admin duties completed
