Fabulous Flowers is a flourishing e-commerce and retail florist and gift shop based in Claremont, Cape Town. We offer a wide range of beautiful floral arrangements and unique gifts for all occasions. We are seeking a motivated and passionate individual to join our team as a Customer Service and Admin Agent.

Job Summary:

As a Customer Service and Admin Agent, you will play a crucial role in ensuring the smooth running of our business operations.

You will be responsible for providing excellent customer service to our clients, processing orders, managing administrative tasks, and maintaining accurate records.


Responsibilities:

  • Assist customers with setting up new accounts, placing orders, and resolving any account queries or complaints.
  • Manage effective filing, archiving, and recordkeeping for the department.
  • Handle administration of tenders and preparation of company documentation for new business development.
  • Manage specific supplier relationships, including quality control, service delivery and product management.
  • Facilitate daily order management processes, Monday to Friday, 08h30 17h30 and three monthly Saturday shifts from 08h30 14h00.
  • Maintain accurate records and manage the Fabulous Flowers Shopify system.
  • Conduct daily account reconciliation, and manage petty cash.
  • Understand accounts payable and receivable, with basic cashflow management abilities and a knack for systems and numbers.
  • Prepare invoices and statements for customers.
  • Reconcile debtors, determine overdue accounts, and recover outstanding balances.
  • Assist management in verifying discrepancies and resolving any accounting or finance queries.
  • A lover of admin and creating a flow that makes the team's life easier and clear.

Requirements:

  • Senior Certificate Grade 12 and Tertiary Qualification in
Business/Management/Marketing/Customer Service Studies.

  • Postsecondary accounting or bookkeeping study, even as part of a business or management qualification.
  • Highly proficient in computer skills, specifically Excel or Google Sheets (Google
Workplace), for preparing and using spreadsheets and Sage for Debtor

Management.

  • Experience with data entry and recordkeeping, accuracy and attention to detail is essential.
  • Ability to manage time and prioritise work appropriately.
  • Excellent interpersonal skills, particularly on the phone.
  • Solutionsfocused and deadlinedriven.
  • Ability to work independently and within a team environment.
  • Wellorganized and efficient.
  • Excellent verbal and written communication skills in English and Afrikaans.
  • Ability to confidently and empathetically handle conflict resolution with customers.
  • Trustworthy, reliable, and of high integrity.
  • Comfortable dealing with a diverse range of customers and suppliers on any level.
  • Positive and optimistic, always looking for creative ways to solve problems.

Salary:
R13,000.00 gross per month.
