Documentation Co-Ordinator
PRIME PURPOSE OF THE POSIITION
Contour Logistics is recruiting an experienced Documentation Co-Ordinator to join our dynamic team.
The successful incumbent will facilitate and complete the necessary documentations process, that is required for product from point of receipt to point of final destination.
This position will report to the Documentation Team Leader/ Area & Documentation Manager.KEY RESPONSIBILITIES
- Responsible for all assigned export documentation and queries.
- Liaising with account holders on a regular basis.
- Use the Navis portal to confirm that all containers loaded onboard correct vessel, before starting the documentation process.
- Timeous submission of shipping instructions and ensuring accuracy thereof.
- Processing and submission of all required documents in the export process within deadlines.
- Completion of risk reports on a daily basis with accurate information (e.g., dates, documents numbers)
- Updating of Phytosanitary Certificate registers on a daily basis with accurate information.
- Uploading documents to QX within the set timeline and filing of completed files.
- Liaise and clearly communicate with all industry organizations and institutions involved.
- Report any delays (potential or real) of documentation to direct manager.
- Preparing courier parcels with all required original documents for courier to consignees/notify parties and ensuring arrival of parcels at correct destination before ETA of vessel.
- Provide all weekly reports and information to clients as and when requested, within the required deadlines.
- Responsible for the duties distributed by your Team Leader, of your colleagues, in the event of absence or leave.
- Maintain the required longterm relationships with Clients and service providers. Proactive communication to clients.
This includes the following:
- Any reporting required by the client in the specified time frame.
- Joint problem solving with regards to service providers or clients.
- Obtain full knowledge and understanding of client¦s business.
- Send completed and approved job files to Finance department for invoicing within the
- Maintain good interaction and cooperation with your colleagues on a daily basis.
- Provide accurate and all information to the DSU in order to maintain workflow and reach
EDUCATION AND EXPERIENCE REQUIRED
- Matric (Grade 12).
- Related tertiary qualification will be to your advantage.
- Previous experience in a logistics documentation environment is a prerequisite.
KEY COMPETENCIES REQUIRED
- Good product and basic shipping market knowledge
- Good knowledge and understanding of shipping documents (including the completing thereof) and export procedures.
- Excellent time management skills
- Good communication and interpersonal skills Advance computer skills focused on MS Excel.
- Improve work methods and proactive problemsolving.
- Ability to work under pressure.
Customer and industry requirements are forever changing, it will be expected of the incumbent to be flexible within their capabilities and complete any additional tasks as instructed by their superiors.
