About the Data and Product Administrator position


The main function of the Data and Product Administrator is to perform all day-to-day and project product data creation and administration activities within Rubicon and ensure that all internal product data requirements are correctly serviced.

The position is also responsible for general product related admin, including internal, external and compliance activities. The position will also have admin responsibilities related to new product development and manufacturing.

Core duties, responsibilities, and accountabilities of the role:

  • Support Rubicon's overall sales environment in day to day operations, updates, and maintenance of product data.
  • Perform data migration from legacy systems to new ones with import / export tools
  • Clean legacy data with various Excel or other tools
  • Support testing and onboarding process for new products
  • Work with product managers, branch managers, CPO and buyers to create part numbers for new or existing product, in line with the group guidelines.
  • Perform admin functions related to compliance


Additionally, the role will require working with the chief product officer (CPO) and other management to update, enhance or maintain the product data management environment.

This requires an understanding of product data management technologies.

Specific Essential Duties and Responsibilities:

  • Assist migration of data from legacy ERP / other systems into new environments, including cleaning and preparing data using Excel or other tools
  • Maintain product database by enlisting support from various department staff and vendors contacts.
  • Process and publish new products to the ERP
  • Research, request, review and data entry of information necessary to setup new products
  • Regularly review information database for accuracy and completeness.
  • Participate in review team for electronic and printed information catalogues.
  • Assist in monitoring consistency of product data.
  • Liase with product compliance administrator regarding NRCS certification for products
  • Assist with admin related to Research and Development partners in new product
  • Assist with admin related to internal product manufacturing such as Serial / Lot data management and tracking, order tracking etc.

Minimum qualifications, criteria, and experience:

Required:

  • Matric/NQF4 equivalent certificate with Maths
  • Relevant Tertiary Qualification preferred
  • Advance competence in Excel ability to work with formulas, macros and pivot tables etc.
  • 2 years+ data and/or business admin experience
  • Technical or or commercial knowledge of the sectors which Rubicon services in South Africa would be an advantage.
  • Excellent Professional business written and verbal communications skills. The ability to express yourself clearly, accurately and effectively within
the company.
