Requirements:

  • Matric, relevant qualification advantageous
  • High level of accuracy, attention to detail, focused planning, and organizational skills
  • Intermediary Excel (spreadsheets and formulas)
  • Strong organisational skills required to be able to map out and keep track of the flow of communication and ensure completion of tasks
  • Excellent planning, verbal, and written communication along with insight.
  • Analytical thinking an approach to the tasks will be an added benefit
  • Effective communication to manage the workflow with sales team, suppliers & driver
  • Solid back for operations department assisting with data management & operations
  • Knowledge of Cape Town and surrounds essential

Duties and Responsibilities:

  • Actioning of dispatch, planning of routes to follow most efficiently.
  • Communicate directly with the sales reps or clients regarding planning of deliveries
  • Creating a schedule & forward planning on the monthly overview
  • Data capturing information, overseeing driver that effective routes are followed
  • Action changes quickly & efficiently, expedite any urgent changes with ease
  • Maintain delivery records, tracking of delivery costs, monitor running vehicle costs
  • Manage company vehicles, schedule regular maintenance and inspections
  • Maintain tracker records, and record KMs
  • Ensure paperwork for collections & deliveries is accounted for, saved digitally
  • Process purchase orders
  • Manage company data base accurately and timeously
  • Collating supplier stock sheets & price lists converting into company software system
  • Interpret & action any anomalies produced by various data reports.
  • Creation of addendums, and costing sheets from the software system, manage filing
  • Tracking of samples for each project & which suppliers or documents they relate to
  • Ensure samples are reviewed & signed off and passed onto creditors department
  • Organise sample ranks and replenish, manage storeroom
  • Update with new arrivals, coding, maintain product data & remove discontinued items
  • Support sales team with creating costing sheets
  • Understanding each of supplier's product ranges & basic cost bracket
