The Role

PURPOSE


The purpose of the HR Coordinator role is to provide administrative and coordination support to the HRBP and indirectly to the Group Organisational Development Department.

The incumbent of this role will be responsible for completing all administrative duties related to the HR function as well as to coordinate, capture and report against training data as per the Group and divisional training processes and requirements.


Skills and Experience
2 years' experience as HR/Training Co-ordinator and or similar role

  • Studying towards or completed a diploma in HR or in a similar field (desirable)

Key Accountabilities Complete administration and coordination of all HR processes and activities**- Log requisitions to support the approval of new or replacement roles

  • Complete staff movement forms as per procedure
  • Release advertisements to the relevant platforms as and when required
  • Set up interviews and prepare interview packs. Ensure venues are organised or if online that all links are available to attendees
  • Draft offer and decline letters for review and distribution by HRBP
  • Prepare employee onboarding packs and coordinate onboarding process
  • Complete employee offboarding processes including termination process, provident fund withdrawal's, training bond administration and the return of company assets (where relevant)
  • Coordinate any processes with relevant service providers including managed services to support employee lifecycle as required
  • Coordinate any IR related meetings and maintain IR records
  • Complete any system administration as required

Training Administration and Coordination

  • Administer and coordinate all training against policies and procedures
  • Obtain training requirements and coordinate with the line managers and supporting teams to ensure that employees and/or subcontractors are rostered to attend training
  • Ensure participants are well informed of training venue, time and other relevant details
  • Book classrooms/boardroom and ensure they're properly set up against training requirements by engaging with the training provider whether internal or external
  • Prepare and disseminate training material (e.g., instructional notes, manuals)
  • Ensure that attendance registers and evaluation forms are distributed, completed and returned
  • Capture evaluation forms and provide training impact report (where required)
  • Maintain training records (e.g., Trainee lists, schedules, attendance sheets)
  • Capture training data accurately as per procedure to prepare for the annual WSP and ATR submission to the relevant SETA's
  • Prepare training reports as and when required
  • Support the HRBP in conducting an annual training needs analysis in partnership with Group organisational development team and submit consolidated findings.

Other General**- Set up and maintain physical and digital filing systems ensuring that information is accessible

  • Create and maintain employee files and records
  • Prepare agenda's, meeting minutes and presentations as and when required
  • Conduct research and present findings as and when required
  • Resolve issues as they arise and take corrective action. Escalate any issues outside of scope to HRBP.
  • Ensure that invoices to suppliers are paid on time and manage any supplier related queries.
  • Drive continuous improvement within area of accountability whilst ensuring compliance to applicable statutory and regulatory requirements
