Head Office Administrator

Job Duties/Responsibilities will include:
Answering and directing incoming calls to relevant departments.
Welcoming and receiving clients at the Head Office.
Arrange meetings and refreshments for Head Office employees.
Responsible for checking refreshment levels.
Make appointments for the CEO and relevant executives.
Keep diaries and calendar updated for relevant executives and avoid duplication.
Screen appointment requests and book internal and external meetings.
Ensure that the CEO has documentation for meetings.
Remind CEO and/or executives of meetings.
Screen incoming calls and relay messages.
Assist with enquiries.
Distribute internal and external correspondence from management.
Organise travel, hotel bookings and car rentals for the management.
Grade 12 (Matric) or relevant NQF level 4 qualification
A relevant diploma or certificate will be advantageous
Effective communication skills - Written and Verbal
Intermediary Excel Proficiency
At least 2 years relevant experience as receptionist and executive secretary or relevant role
Exceptional telephone and mail etiquette
Ability to professionally communicate in English
Awareness and the fulfilment of the customer needs and expectations
Always adhere to the strictest levels of confidentiality
