To provide day-to-day task management within the organisation by multitasking across a range of responsibilities, including scheduling, handling payroll, accounting, and tax activities, receiving, and forwarding communications, and taking care of more general clerical duties.

Display thorough understanding of office management procedures and demonstrate exceptional organisational and time management skills to complete all duties in a timely manner.


PERFORMANCE STANDARDS

Key Performance Area & Key Performance Indicator:

Administration

  • Adhering and maintaining administrative confidentiality.
  • Receiving and processing communication channels, including mail, telephone calls and physical mail.
  • Conferring with the Accounting and Tax department to plan payments, process incoming invoices and verify receipts.
  • Devising and maintaining Office systems, including data management, and filing.
  • Liaise with the Accounting, secretarial, trust and tax Department regarding their filing requirements.
  • Systematically filing Company and Client documents.
  • Create, manage, and store all physical documents across the various departments.
  • Scheduling meetings and booking meeting rooms.
  • Meeting and greeting visitors.
  • Record notes and messages for Managers and Directors as and when required.
  • Create reports and memos for Managers and Directors as and when required.
  • Ensure functionality of necessary office equipment, requisitioning new equipment and supplies as and when required from the Accounting and Tax department.
  • Always ensure an updated Admin tracker is submitted and reviewed by management on a monthly basis.

Office Support

  • Maintaining procurement of canteen groceries, office supplies, stationery requirements, and equipment as and when required.
  • Maintain all canteen orders on a monthly basis through reconciliation and ensure review and approval process to completion.
  • Maintain and escalate all ICT related issues/queries.
  • Ensure submission of the BitCo report monthly.
  • Offer assistance in organising events.
  • Provide reception and switchboard assistance and training as and when required.
  • Manage personal errands for Group Managing Director and Financial Services Director as and when required.
  • General office administration.

Reporting

  • Ensure accurate and timeously reporting.

Planning

  • Arrangement of all resources towards achievement of all objectives.

Client Relationship Management (Internal and External)

  • Ensure we meet our obligation to clients and visaversa.
  • Escalate any clients concerns to management and addresses all issues timeously and in a professional manner.
  • Ensure that all deadlines are met.
  • Manage client expectations.
  • Ensure client satisfaction.
  • Ensure client retention.

Qualification, Experience & Skills

Proven experience working in a corporate office environment
