The Executive Assistant will provide high-level administrative support to the Director, ensuring the smooth operation of the executive office.
The primary focus will be on managing schedules, coordinating meetings, taking minutes, handling travel arrangements, and assisting with ad hoc tasks to optimize the Director's efficiency.
Key Responsibilities:
Schedule and coordinate all meetings for the Director, both internal and external.
Prepare meeting agendas, attend meetings, and take accurate minutes.
Ensure timely distribution of meeting minutes and follow up on action items.
Manage the Director's calendar, prioritizing and coordinating appointments and commitments.
Proactively handle scheduling conflicts and adjustments.
Arrange domestic and international travel, including flights, accommodations, and itineraries.
Prepare travel briefs with relevant information.
Assist with ad hoc tasks, projects, and research as assigned by the Director.
Coordinate with various departments to ensure timely completion of tasks.
Act as the liaison between the Director and internal/external stakeholders.
Draft and prepare correspondence on behalf of the Director.
Assist with personal errands and tasks as needed.
Requirements:
Proven experience as an Executive Assistant or similar role.
Exceptional organizational and multitasking abilities.
Strong written and verbal communication skills.
High level of discretion and confidentiality.
Proficient in office software and scheduling tools.
Ability to work independently and anticipate needs.
Strong problem-solving skills.
Education and Experience:
Bachelor's degree in business administration, Management, or a related field.
3+ years of relevant experience as an Executive Assistant.
