Human Capital Administrator

The Incumbent will be responsible for administration aspects of HC, including providing support to the Human Capital Manager.
SCOPE
HC Administration for the HC department including but not limited to maintenance of staff records, recruitment checks, distributing information to staff, assisting the HC Manager with queries, maintenance of leave records and general HC administration.
Responsibilities
POLICIES & PROCEDURES
Assist staff and management with the implementation of the company policies and procedures.
RECRUITMENT ADMINISTRATION
Ensure that short listed candidates sign indemnity forms for the company to conduct the required checks.
Process credit, criminal and educational checks on short listed candidates.
Provide the documents received and the results of the checks to the HC Manager timeously.
NEW EMPLOYEE ADMINISTRATION
Create employee files for new employees prior to date of employment.
Ensure that all relevant documentation as per the New Employee Checklist is in the file prior to date of employment.
Send the new Employee pack to new employees prior to date of joining and advise them where to report to and what to bring on their first day.
Create a new employee profile for new employees on the internal HC system.
Create profiles for new employees on the Access Control System.
Explain the contract and benefits (Provident Fund and Medical Aid Options) to the new employee.
Advise the Learning & Development Department of names and dates of employments of new employees for induction purposes and systems training interventions.
BENEFITS ADMINISTRATION
Provide employees with support in respect of benefits on Medical Aid & Provident Fund.
Liaise with the relevant administrators in order to resolve queries.
PARKING
Advise the Office manager of parking requirements for new employees and terminating employees on a monthly basis to update the parking schedule.
ACCESS CONTROL
Ensure that all new employees are loaded on the Access Control system.
Assist employees with any queries or problems.
TERMINATION ADMINISTRATION
Provide terminating employees with the required benefit forms (ie/ Provident Fund withdrawal form and transfer /termination of Medical Aid membership if required).
Submit all benefit forms to the relevant administrators.
De-activate terminating employees from the internal HR system.
Ensure that access cards / loyalty cards are received from terminating employees on their last day of employment.
Ensure the Termination procedure form has been completed.
FILING
Ensure that all employee records are filed electronically on the SAGE 300 People system and kept up-to-date at all times.
LEAVE
ESS system – activate new users, terminations, changes and assist employees with queries.
Assist with any leave queries from payroll and employees.
REPORTING
Send monthly organogram updates from all business units within our client to the marketing department.
GENERAL
Assist employees with general queries.
Refer payroll queries to the HC Manager.
Order stationary for the HC department.
RequirementsQualifications and Expertise
Matric/Grade 12.
HR qualification would be advantageous.
At least 3 years working experience in an HR environment.
Experience on the SAGE 300 People system both on the HR & Payroll modules an absolute requirement.
Competency
A mature approach when dealing with people.
Capacity for dealing with employees at all levels.
Confidentiality, tact and discretion when dealing with people.
Excellent planning and organisational skills.
Integrity and Honesty.
Good command of written and spoken English.
Good interpersonal skills.
Accuracy and attention to detail.
Working knowledge of Microsoft Office Software, including Word, Excel and PowerPoint.
Salary
The salary for this position is competitive and dependent on relevant experience.
