Office Administrator & Personal Assistant
Location: Stellenbosch, South Africa
Salary: R10 000 – R20 000
Working Hours: Mondays - Fridays 08h00 – 17h00
We are seeking a dynamic and organized Office Administrator & Personal Assistant to support a construction company in Stellenbosch. The ideal candidate will have strong administrative and computer skills, with the ability to thrive in a fast-paced, project-driven environment. This role requires attention to detail, excellent communication, and the ability to manage multiple tasks simultaneously while providing professional support to management and project teams.

Key ResponsibilitiesOffice Administration & Coordination
Manage general office administration including filing, documentation, and correspondence
Prepare, format, and manage tenders, quotations, contracts, and project documentation
Data entry and maintenance of electronic and physical filing systems
Manage invoicing, payments, and basic financial administration
Scheduling & Support
Schedule meetings, coordinate project appointments, and manage diaries
Report to management and prepare administrative reports
Provide administrative support to the project team on plans, permits, and compliance
Client & Supplier Communication
Liaise with clients, suppliers, and subcontractors in a professional manner
Maintain clear communication within the office and across project teams
Systems & Tools
Work with MS Office (Word, Excel, Outlook, PowerPoint) and other relevant software
Ensure accuracy in documentation and support smooth project administration
Matric (NQF 4) required; further administrative or computer-related courses advantageous
2–3 years of experience in office administration, preferably in the construction or engineering industry
Experience in project administration and basic bookkeeping advantageous
Knowledge of EJM Construction Software highly beneficial
Strong computer skills (MS Office, databases, document management)
Excellent organizational and time management abilities
Attention to detail with high accuracy
Strong written and verbal communication skills in Afrikaans and English
Ability to work independently, solve problems, and handle pressure in a fast-paced environment
- Reliable transport and valid drivers licence

SleutelverantwoordelikhedeKantooradministrasie & Kordinering
Bestuur algemene kantooradministrasie insluitend lêers, dokumentasie en korrespondensie
Stel tenders, kwotasies, kontrakte en projekdokumentasie op, formateer en bestuur dit
Voer data in en handhaaf elektroniese en fisiese lêerstelsels
Bestuur fakturering, betalings en basiese finansiële administrasie
Skedulering & Ondersteuning
Skeduleer vergaderings, koördineer projekafsprake en bestuur dagboeke
Verskaf bestuursverslae en administratiewe terugvoer aan bestuur
Bied administratiewe ondersteuning aan die projekspan oor planne, permitte en nakoming
Kliënt- & Verskafferkommunikasie
Handhaaf professionele kommunikasie met kliënte, verskaffers en onderaannemers
Verseker duidelike en effektiewe kommunikasie binne die kantoor en oor projekspanne
Stelsels & Hulpbronne
Werk met MS Office (Word, Excel, Outlook, PowerPoint) en ander relevante sagteware
Verseker akkuraatheid in dokumentasie en ondersteun gladde projekadministrasie
Matriek (NQF 4); verdere administratiewe of rekenaarverwante kursusse voordelig
2–3 jaar ondervinding in kantooradministrasie, verkieslik in die konstruksie- of ingenieursbedryf
Ervaring met projekadministrasie en basiese boekhouding voordelig
Kennis van EJM Konstruksiesagteware hoogs voordelig
Sterk rekenaarvaardighede (MS Office, databasis- en dokumentbestuur)
Uitstekende organisatoriese en tydsbestuursvermoëns
Aandag aan detail en hoë akkuraatheid
Sterk mondelinge en geskrewe kommunikasievaardighede in Afrikaans en Engels
Vermoë om onafhanklik te werk, probleme op te los en druk in 'n vinnige omgewing te hanteer
