Dispatch Clerk required |Stikland Industria
Schipper & Sons is seeking a professional, organised, and detail-oriented Dispatch Clerk to support our operational and administrative functions.
The successful candidate will be responsible for ensuring the efficient and accurate dispatch of completed jobs and goods, maintaining documentation integrity, and providing consistent, professional customer interaction.
This position also includes serving as a stand-in for the Receiving function when required
KEY RESPONSIBILITIES
Dispatch & Operational Control
- Manage the full dispatch process, ensuring accurate and secure release of goods and job cards
- Perform Receiving duties as required, including verification and documentation of incoming goods
- Ensure timely, professional customer handovers and adherence to agreed service timelines
- Collaborate with the Workshop to confirm job readiness and resolve any delays
- Ensure all completed jobs are fully signed off and supported by accurate documentation
Documentation & Systems Management
- Maintain complete, accurate, and organised dispatch and receiving records
- Monitor daily workflow and prioritise tasks in accordance with operational needs
- Communicate with customers via the designated WhatsApp communication line according to company protocol
- Apply internal dispatch procedures consistently and update job release checklists when required
Interdepartmental Coordination
- Liaise effectively with Workshop, Reception, and Invoicing teams to support seamless job flow
- Assist in the coordination of urgent and high-value jobs
- Promote and contribute to a cooperative working environment between administrative and workshop teams
Quality, Service & Conduct
- Uphold company values by maintaining professionalism, ethical conduct, and customer-focused service
- Support initiatives to improve efficiency, reduce errors, and enhance overall customer satisfaction
- Maintain a neat, organised, and safe working environment at all times
MINIMUM REQUIREMENTS
- Proficiency in English and Afrikaans (read, write, and speak)
- Strong customer-service orientation and professional communication skills
- High level of responsibility, ethical conduct, and reliability
- Ability to multi-task effectively in a fast-paced, high-pressure environment
- Self-motivated with a high level of energy and the ability to lead by example
- Exceptional organisational skills with strong attention to detail
- Computer literacy essential: Microsoft Word, Excel, Outlook
- Matric and a valid driver's licence
- Non-smoker and in excellent health
- Residing in the Northern Suburbs (Kuilsriver, Bellville, Brackenfell, Durbanville areas)
