Position Summary
Solid Rock Consulting is seeking a highly technical
Marketing Systems & Automation Manager
to streamline, connect, and optimize our marketing technology ecosystem, including
GRM, ActiveCampaign, and ClickFunnels
.
This role is responsible for building clean data structures, automating workflows, and ensuring seamless integration across platforms to support lead generation, nurturing, and reporting.
The ideal candidate is a
CRM and automation power user
who thrives on solving complex technical puzzles and creating visibility across the marketing funnel. They will work closely with the Director of Marketing to ensure all marketing systems deliver clean data, accurate segmentation, and actionable insights.
Key Responsibilities
CRM & Database Management
- Audit and clean all CRM contacts (~10,000+ records) to eliminate duplicates and incomplete data.
- Establish and maintain contact segmentation for
Leads, Customers, Partners, Inactive Contacts,
and
Staff
. - Build and document tagging logic and data management SOPs.
- Maintain data hygiene and implement automations to prevent duplicates or untagged records.
System Integrations
- Integrate all Marketing Systems, CRM, Email, etc to ensure two-way data sync and consistent tagging.
- Map lead flow from initial contact → nurture → conversion → client onboarding.
- Troubleshoot API, Zapier, or webhook integrations as needed.
- Collaborate with the Operations team to align CRM data with financial and customer records.
Automation & Workflow Design
- Build and optimize automation sequences (lead nurture, onboarding, upsells, reactivation, etc.).
- Create visual workflow documentation for each process.
- Test automations regularly to ensure accuracy and scalability.
- Develop and manage trigger-based communications that guide prospects through the funnel.
Analytics & Reporting
- Create dashboards to visualize key metrics such as lead conversion, campaign attribution, and list quality.
- Develop reports tracking total leads, new customers, churned contacts, and funnel progression.
- Monitor automation performance and recommend optimization opportunities.
- Maintain a "single source of truth" for all contact data and lifecycle stages.
Required Qualifications
- 2+ years of hands-on experience with
GoHighLevel (GHL)
— CRM setup, automations, tagging, and pipelines. - Demonstrated experience integrating
ActiveCampaign
and
ClickFunnels
(or similar tools). - Strong understanding of contact segmentation, tagging logic, and automation workflows.
- Intermediate knowledge of
Zapier
,
webhooks
, or
API-based integrations
. - Proven ability to clean and organize large databases (5K+ records).
- Strong problem-solving skills with attention to accuracy and process documentation.
- Proficient in Excel or Google Sheets for data auditing and reporting.
Preferred Qualifications
- Experience managing marketing operations in a B2B professional services environment.
- Knowledge of marketing funnels, email nurture strategies, and CRM architecture.
- Familiarity with analytics dashboards (e.g., GHL reporting, Data Studio, Power BI).
- Comfort working cross-functionally in a fast-paced, remote environment.
- Bonus: Experience with Thinkific, Notion, or similar platforms for course and content management.
Success in This Role Looks Like
- All marketing platforms (GHL, ActiveCampaign, ClickFunnels) are fully integrated and synced.
- Duplicate contacts are eliminated, and segmentation is accurate and up-to-date.
- Leads automatically flow through campaigns with clean tagging and reporting.
- Sales and Marketing have unified visibility into lead status and campaign performance.
- Reporting dashboards provide clear, real-time visibility into marketing health metrics.
