Role Overview The Customer Service & Operations VA will handle inbound calls, customer onboarding, payment processing, email and voicemail management, and coordination with field technicians. You will also use internal tools to measure properties, prepare quotes, and retrieve video footage for customers (full training provided). The role will begin part-time (20 hours/week) with a strong intention to grow to full-time (40 hours/week) once training is complete and workload is fully transitioned.
Key Responsibilities
- Customer Service & Sales Support
- Answer incoming calls from potential customers in a professional, friendly manner.
- Explain services, answer questions, and guide potential customers through the sign-up process.
- Collect and securely process credit card information and payments over the phone using company-approved systems.
- Handle calls from existing customers regarding service questions, billing, and schedule-related queries.
- Approach customer concerns and complaints with empathy, professionalism, and problem-solving, aiming for a positive outcome.
- Quoting & Service Setup
- Use internal tools (maps and measuring tools) to: ○ Look up and measure customer properties. ○ Generate accurate quotes based on company guidelines.
- Record service details and ensure all necessary information is captured to set customers up correctly in the system.
- Ensure all new customers are properly documented and scheduled for service.
- Email, Voicemail & Documentation
- Review and respond to emails daily in a timely, professional manner.
- Check voicemails regularly, return calls, and log outcomes.
- Locate and retrieve customer-related emails, including requests for service proof or video footage, and ensure proper follow-up.
- Maintain organized digital records of customer interactions and service history.
- Video Footage Retrieval & Sharing
- Access internal systems that store body camera footage from field technicians.
- Locate the correct visit footage for a specific customer and send the video or screenshots as requested to demonstrate completed work.
- Track which customers have been sent footage and note this in the customer record.
- Technician & Route Support
- communicate with field technicians throughout the day to: ○ Provide customer details and special instructions. ○ Help with directions and navigation when a technician is having trouble locating a property (using vehicle trackers and mapping tools).
- Relay messages between customers and technicians where needed.
- Alert the appropriate person if major issues or delays arise in the field.
- General Administrative Support
- Assist with light data entry and updating customer details in internal systems.
- Help maintain accurate service, billing, and communication records.
- Support other office-related tasks as needed, once fully trained.
- Training will be provided on all in-house tools and platforms, including:
- Internal measuring tools for properties.
- Vehicle tracking/map tools.
- Body camera/video storage systems.
- You should already be comfortable with:
- Email & calendar tools (Google Workspace or Microsoft Office).
- Basic spreadsheets (Excel or Google Sheets).
- Learning new software and systems quickly
