1. Provide secretarial and administrative duties (TCF)

  • Attend to all incoming calls
  • Attend to and sort mail
  • Manage Executive Head diary
  • Arrange and co-ordinate internal and external meetings/functions
  • Compile and type letters
  • Order stationary
  • Liaise with IT on technical issues
  • Attend to payment requests and credit card statements
  • Record keeping of all committee documents and correspondence

  • Receive visitors for Executive courteously

  • Compile Presentations and Reports
  • Monitor budget

2. Plan and organise meetings of the Executive Head.

  • Compile and distribute board packs and meetings/committees
  • Compile and co-ordinate monthly management reports

  • Provide executive with all relevant documentation Arrange refreshments for meetings

  • Compile and distribute agendas and notice for meetings
  • Take and distribution of minutes

3. Arrange for travel, accommodation and other requirements of the Executive Head.

  • Make and process travel and accommodation arrangements
  • Process related claims

Requirements

Formal Education:

  • Matric
  • Secretarial Diploma

Technical/Legal Certification:

  • MS Office Advanced
  • Minute Taking Course

Experience:

5 years' experience as an PA reporting to a Executive Head
