About the Role
We are seeking a highly organised, detail-oriented and deadline-driven Administrative Assistant to provide comprehensive administrative support to our CEO and Head of Development. This role is ideal for a proactive professional who blooms in a fast-paced property development and residential golf estate environment, managing multiple priorities with precision and punctuality.
Key Responsibilities
Executive Support
- Provide direct administrative support to the CEO and Head of Development
- Manage ad hoc duties and special projects as assigned by the CEO
- Handle personal errands and shopping requirements for the CEO
- Maintain strict confidentiality on all sensitive matters
- Prep all weekly reports received from department managers
- General Personal Assistant duties, including preparation of meals
- Manage the CEO's properties
- Liaise with senior management/communication between the CEO Office and OPS Managers.
Marketing & Communications
- Liaise with external marketing agencies to coordinate campaigns and deliverables
- Ensure timely communication and adherence to marketing project deadlines
HR Administration
- Coordinate onboarding processes for new staff members
- Ensure all departments utilise correct templates and documentation
- Schedule and monitor performance reviews to ensure regular completion across all teams
- Escalate and resolve HR issues promptly and professionally
- Liaise with the external Labour Agency on employment relations matters
- Maintain accurate employee records and HR filing systems
General Office Administration
- Manage filing systems and ensure all documentation is properly organised and controlled
- Perform general office duties including stationery, correspondence, document preparation, and records management
- Coordinate internal deadlines and ensure timely completion of deliverables
- Maintain office efficiency and support day-to-day operations
- Monthly accounts reconciliation for the CEO Office
Required Qualifications & Experience
- Minimum 5 years
of administrative experience, preferably in a similar support role - Proven track record of working in fast-paced, deadline-driven environments
- Experience supporting C-suite executives is highly advantageous
Essential Skills
Technical Proficiency
- Proficiency in
Microsoft Office 365
(Word, Excel, PowerPoint, Outlook) - Working knowledge of
Adobe Illustrator
