We are seeking a detail-oriented and proactive Junior Tender and Sales Administrator to support our sales team in preparing and submitting tenders, managing sales documentation, and ensuring smooth administrative operations. The ideal candidate will assist in streamlining the tender process, maintain accurate records, and contribute to achieving sales targets.

Role Objective:
This entry-level role is crucial in supporting the successful processing, submission, and tracking of bids and tenders, ensuring full compliance with all requirements and deadlines. Oversee the entire customer experience, from order placement to delivery as well as aftersales, ensuring smooth operations and excellent service.

Qualifications and Attributes:

·      Matric plus a relevant Certificate or Diploma in Business Administration, Sales/Marketing Management, Office Management. A engineering certificate and/or diploma is an advantage.

· years in sales and/or tender administration environment.

·      Proven ability to meet strict deadlines and manage multiple tasks simultaneously.

Tender Admin Responsibilities:

Tender Identification and Registration:
Monitoring relevant portals (e.g., e-Tender Publication Portal, CSD) to identify applicable tender opportunities and accurately registering them in the internal tracking system. Assist in tracking project timelines, submission deadlines, and contractual documentation.

Documentation Support:
Assisting the senior team in compiling and formatting necessary tender documentation, including pricing schedules, compliance forms, and technical specifications.

Coordinate with internal teams to gather technical and commercial information for tenders.

·      
Compliance Checks:
Ensuring all statutory and supportive documentation (e.g., tax clearance, BEE certificates, regulatory compliance) is current, valid, and correctly attached to the submission.

·      
Administrative Management:
Maintaining an organised and current electronic and physical library of all tender documents, proposals, and outcome records.

·      
Submission Logistics:
Coordinating the physical or electronic submission of completed tenders, ensuring strict adherence to all stated deadlines and submission procedures.

Follow-up:
Tracking the status of submitted tenders and assisting with requests for additional information (RFIs) from the procuring entity.

General Administration:
Providing general clerical and administrative support to the sales and management team as required.

Sales Admin Responsibilities
:

·      Process sales orders and quotations on Sage Accounting.

·      Update stock, process, and complete orders on Sage.

·      Oversee the end-to-end customer experience — from queries to delivery.

·      Respond to website, email, and phone enquiries.

·      Liaise with customers, logistics partners, and the internal team to track and fulfill orders.

·      Support the sales team in managing customer inquiries and follow-ups.

·      Prepare sales reports, proposals, and presentations as required.
