Role Description
This is a full-time, on-site role for a Sales Administrator located in the City of Johannesburg. The Sales Administrator will handle various administrative functions, including processing customer orders, coordinating sales activities, and providing exceptional customer service. Tasks include managing client communication, maintaining accurate sales records, and supporting the sales team with administrative duties to ensure smooth operations.
What you'll do
• Prepare accurate quotes and pro-formas from price lists and supplier offers
• Create and manage sales orders, ensure clean handover to procurement and warehouse
• Track orders end-to-end: ETAs, back-orders, collections, PODs, returns
• Maintain CRM hygiene: deals, activities, notes, next steps, forecast updates
• Source alternatives and substitutions from our warehouse stock where needed
• Liaise daily with suppliers on pricing, availability, and lead times
• Compile client documents: statements, credit applications, vendor forms, tender packs
• Produce weekly reports for reps and management (pipeline, orders, cash sales)
• Resolve invoice and delivery queries quickly with finance/warehouse
• Uphold our sales process, templates, and SLAs
What you'll need
• Matric; tertiary or relevant certificates an advantage
• 2+ years in sales admin, order processing, or internal sales (distribution/ICT preferred)
• Confident with Excel/Google Sheets; and ERP (e.g., Pastel/Acumatica/Sage)
• Exceptional attention to detail, grammar, and numbers
• Strong follow-through and ownership; works independently and hits deadlines
• Clear, professional communication with customers and internal teams
Nice to have
• ICT product familiarity (routers, switches, wireless, fibre, VoIP)
• Tender/portal experience and vendor onboarding packs
• Basic VAT/invoice understanding and POD/returns workflows
• Comfortable using AI tools to speed up routine tasks
