Tsebo Facilities Solutions is looking for a Switchboard Operator to answer all incoming telephone calls and transfer correctly.

Duties & Responsibilities

Incoming calls

  • Greet callers in a friendly and professional manner.
  • Answer all calls promptly, within a minimum of 5 rings, 90% of calls have to be answered within 20 seconds.
  • Transfer all calls to the correct extensions
  • Take detailed messages when users are not available
  • Pass messages on as soon as possible (via email or teams)
  • Provide accurate information to callers at all times

International calls

  • Dial/transfer international calls as and when required.

Promote excellent customer service as the first point of contact for Illovo

  • Always answer calls in a cheerful, friendly manner.
  • Smile when you answer a call.
  • Never raise your voice and always offer to assist a caller.
  • Always project a professional, friendly image and professional approach, never adopt an "over familiar" approach.
  • Understand what it means to go the extra mile.

Ad Hoc

  • Update the information of all incoming & outgoing staff on switchboard
  • Perform/carry out any other reasonable requests as stipulated by management, this may include assisting in other departments.
  • Keep and updated emergency contact list.

General

  • Adhere to TFS House Rules and Safety, Health, Environmental and Quality Systems (SHEQ) (ISO 9001, ISO 14001 & ISO 18001)
Skills and Competencies
  • Computer Literacy on MS Packages (MS Word, Excel, Access)
  • Excellent interpersonal skills
  • Telephone etiquette
  • Good Communication skills
  • Attention to detail
  • Ability to plan, organise and control own work effort
  • Ability to manage more than one situation at a time
  • Ability to display professionalism
  • Must be energetic
  • Must be punctual and reliable

Qualifications
  • Matric
  • Secretarial or telephonist Certificate/Diploma would be an advantage
  • 1-2 years working experience in a similar environment
  • 1-2 years Customer services experience
  • Experience on busy electronic board
