Purpose of Role: The Sales Administrator plays a key role in supporting the sales function by ensuring accurate and timely processing of orders, quotations, and documentation. This role contributes to operational efficiency, compliance with Quote-to-Cash (QTC) processes, and seamless coordination between internal teams. Key Responsibilities
Sales Administration:
- Prepare and process sales orders, quotations and invoices.
- Ensure compliance with QTC processes and internal policies.
- Maintain Salesforce Opportunities.
- Monitor and expedite order flow to meet delivery timelines for customers.
- Ensure order book alignment.
- Maintain accurate documentation and filing of sales records.
- Generate delivery documentation and coordinate dispatch of goods.
- Support OE and AM order entry.
- Attend to customer queries and expediting of orders.
- Resolve issues related to delivery, pricing and product availability.
- Process Credit's and NCR's.
Reporting & Data Management:
- Assist in supporting with sales OTD and accurate output forecasting.
- Provide support and insight to management on trends and opportunities.
- Support internal audits and ensure document control compliance.
Coordination & Support:
- Liaise with internal departments (sales, logistics, finance) to ensure smooth order execution.
- Support customer credit management in collaboration with finance.
General Office Duties:
- Process supplier purchase orders in SAP and Coupa.
Assist Managers with batch time sheet submissions.

Job Knowledge/Education and Qualifications:
- Matric (Grade 12).
- Minimum 3 years' experience in a sales administration role within engineering, manufacturing, or mining.
- Proficiency in Microsoft Office and ERP systems (SAP essential).
- Strong attention to detail and accuracy in documentation.
- Excellent communication and problem-solving skills.
- Ability to work under pressure and manage multiple priorities.
- Commercial awareness and understanding of sales processes.
