As an Office Administrator, you will play a very important role in supporting the team with a range of administrative tasks and provide Personal Assistant duties to the Director as and when required. 

Key Responsibilities:

Quoting & Invoicing:
  • Assist in preparing and issuing quotations for clients, ensuring they are accurate and reflect the project scope.
  • Manage invoicing processes, ensuring all invoices are generated and sent in a timely manner.
  • Coordinate with the finance team to ensure all payment transactions are processed accurately and follow up on any outstanding payments.
Personal Assistant Duties:
  • Provide administrative support to the Director, including managing schedules, organizing meetings, and preparing agendas.
  • Coordinate travel arrangements, including transportation, accommodation, and itineraries for the Director and other senior management.
  • Handle correspondence, including emails, phone calls, and mail, ensuring prompt responses and follow-up where needed.
  • Assist with personal tasks as required, maintaining a professional and discreet approach to sensitive information.
Data Capturing:
  • Accurately capture, record, and organize data related to ongoing projects, ensuring it is easily accessible for the team.
  • Draft and proofread internal and external communications, including reports, project updates, and official documents.
Reception Duties:
  • Greet guests in a friendly and professional manner, offering assistance as needed.
  • Manage the front desk, handling phone calls, inquiries, and directing them to the appropriate departments or team members.
  • Keep the reception area organized and welcoming for all visitors.
Skills:
  • Strong organizational skills and the ability to manage multiple tasks and deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) 
  • Excellent verbal and written communication skills 
  • Highly meticulous
  • Strong ability to follow instructions 
Qualifications:
  • Matric (Non-negotiable) 
  • Own Vehicle
Remuneration: R Dependent on experience)
