Mon – Friday. Hours: 07:30am-16:45pm (Mon-Thurs) and 07:30am-15:15pm (Fri)

About the Role

We are seeking a highly organized and proactive Procurement, Stores & Administration Controller to join our team. This pivotal role combines procurement, inventory management, and administrative support to ensure seamless operations across our signage and branding business. Key ResponsibilitiesProcurement & Supplier Management

· Source and procure goods and services, ensuring competitive pricing and timely delivery.

· Manage supplier relationships, contracts, renewals, and compliance.

· Review and process supplier invoices, price lists, and payment schedules.

· Maintain accurate records of supplier payments and claims.

Stores & Inventory Control

· Receive, inspect, and pack stock according to company procedures.

· Issue materials and tools, recording all movements accurately.

· Allocate issued materials to job cards using the company's system.

· Conduct regular housekeeping and stock takes to maintain an organized store.

Order & Job Card Management

· Process orders via email and order books; follow up on outstanding orders.

· Collect and manage job cards, ensuring all documentation is complete and up to date.

· Input factory completion dates and maintain accurate records.

Administration & Office Support

· Provide general administrative support, including document management and filing.

· Prepare and process invoices, credit notes, and other financial documentation.

· Coordinate with internal departments to ensure smooth workflow.

· Support reception duties, including answering calls and greeting visitors.

Communication & Coordination

· Liaise with internal and external stakeholders to ensure operational needs are met.

· Communicate with suppliers regarding order status, pricing, and contractual terms.

· Assist with scheduling, meeting coordination, and office logistics.

Skills & Competencies

· Strong organizational and record-keeping skills.

· Attention to detail in stock control, procurement, and financial documentation.

· Supplier relationship management and negotiation.

· Proficiency in Microsoft Office Suite and inventory/accounting systems.

· Ability to manage multiple streams of work simultaneously.

· Excellent teamwork, initiative, integrity, accountability, and reliability.

Performance Indicators

· Timeliness and accuracy of stock receipt, issue, and inventory records.

· Supplier payment timeliness and invoice accuracy.

· Store organization and housekeeping standards.

· Effective communication with suppliers, internal teams, and clients.

· Compliance with procurement, stores, and administrative procedures.
