The Office Administrator is responsible for providing administrative and operational support, ensuring efficient day-to-day functioning of the office, showroom, and warehouse. The role includes a combination of receptionist duties, personal assistant tasks, and general administrative responsibilities to facilitate smooth operations and provide an exceptional customer experience. We are looking for young, energetic and an eager learner with great organisation skills.

Key Responsibilities:

1.⁠ ⁠Reception Duties:

Greet and welcome customers upon arrival at the showroom in a friendly and professional manner.

Manage the reception area, ensuring it remains presentable and always welcoming.

Answer incoming calls promptly, provide information as required, and direct calls to appropriate team members.

2.⁠ ⁠Personal Assistant Support:

Assist the management team with scheduling meetings, preparing meeting agendas, and managing calendars.

Coordinate internal and external communication, ensuring timely responses to inquiries.

Assist in preparing presentations, reports, and documentation as needed.

3.⁠ ⁠Showroom and Customer Service:

Assist customers in the showroom, providing information on products and services.

Ensure the showroom is maintained to a high standard of cleanliness and organization.

4.⁠ ⁠ Stock Management:

Overseeing that procedures are followed regarding al stock coming into as well as stock going out of the warehouse for invoicing deliveries to retailers and end-consumers.

Assisting and ensuring that POD Recon Sheet is completed daily with all invoices delivered to retailers and keeping the finance department and directors informed of POD's and deliveries.

Ensuring that personnel file all POD's in files in the Admin Office.

Maintains receiving, warehousing, and distribution operations by initiating, coordinating, and enforcing program, operational, and personnel policies and procedures.

Controls inventory levels by conducting physical counts; reconciling with data storage system.

5.⁠ ⁠Logistics and Documentation:

Verify invoiced goods before drivers depart for deliveries to ensure accuracy and completeness.

File signed Proof of Delivery (POD) documents at the end of each day, maintaining organized records for easy access and reference.

6.⁠ ⁠Office Maintenance and Support:

Opening & Closure of Showroom Daily.

Ensure the cleaning and maintenance of the showroom and warehouse are up to standard, coordinating with cleaning staff as necessary.

Report any maintenance issues to management for timely resolution.

Skills and Qualifications:

·      Strong interpersonal and communication skills, with a focus on customer service.

·      Excellent organizational skills and attention to detail.

·      Ability to multitask and prioritize in a fast-paced environment.

·      Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

·      Previous experience in office administration, reception, or customer service preferred.

·      Grade 12

·      Qualification/experience in Business administration, Supply Chain Management, Logistics, or related field would be an advantage.

Working Hours:

Monday to Friday, 8:00 AM - 5:00 PM (with flexibility as required).

Reports To: Office Manager / Operations Manager

Basic Salary: 10k-13k/month
