Position**:Events Coordinator**
**Reports to**:Facilities Manager
**Responsibilities**:
- Managing the global events calendar across both sponsored industry events and hosted events (digital and in-person)
- Plan, all third-party conferences and proprietary hosted events (including conference sponsorship, breakfast seminars, client dinners, awards ceremonies etc.)
- Mange all pre-event planning, organizing collaboration with marketing and event agencies & internal Client staff.
- Manage logistics and deliver for all event collateral, booths, banners etc. as required.
- Ensure annual event planning is executed in a timely manner and in collaboration with all key departments, product, sales, regional heads
- Coordinate suppliers, handle client queries and troubleshoot on the day of the event to ensure that all runs smoothly
- Ensure you do a daily walk of all meeting rooms / space & that all areas are cleaned & meeting rooms are stocked up of pens, whiteboard dusters/other.
- Order & keep sufficient event stock, monitoring of the stock after an event
- Ensure Wi-Fi code is printed, request from IT for various events.
- Confirm daily events with event owner & update the relevant departments of all changes & communications
- Work daily with the catering team for with any room changes & any updates that may arise.
- Daily Event planning, design and production while managing all project delivery elements within time limits
- Ensure that all setup styles are adhered to and collaborate liaise with team segments to ensure a seamless client experience.
- Liaise with clients to identify their needs and to ensure customer satisfaction
- Conduct market research, gather information and negotiate contracts prior to closing any deals
- Provide feedback and periodic reports to stakeholders
- Propose ideas to improve provided services and event quality
- Organize facilities and manage all event’s details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc.
- Ensure compliance with insurance, legal, health and safety obligations
- Specify staff requirements and coordinate their activities
- Cooperate with marketing and PR to promote and publicize event when required
- Proactively handle any arising issues and troubleshoot any emerging problems on the event day

**Minimum requirements**:
- 5 years’ Previous events experience
- Must be willing to work weekends and over time when needed
- Excellent events coordination experience.
- Must be able to do _**large, small and private business functions.**_
- Must have own transport - huge advantage.
- Must have a passion for events and always willing to go the extra mile
Pay: R10 000,00 - R25 000,00 per month
Work Location: In person
