The incumbent of the role is responsible for supporting the team in attaining operational objectives. The individual must be capable of understanding operational requirements, planning and writing proposals, compiling costings, must be able to provide administrative support as well as providing assistance to the Bid, MICE and Sales teams on all client proposals, tenders and presentations. Additionally, the incumbent will be expected to do all work necessary towards the evaluation of contracts included in tenders and proposals.

Efficiencies
- Responsible for all administration related to handling confidential information, documentation and agreements.
- Maintaining a database of information relevant to tenders and proposals and ensuring that these are up-to-date.
- All administration of tender proposals must be maintained effectively and all deadlines met.
- Maintain the tender register and ensure that all follow-ups in respect of tenders are done regularly and timeously.
- Ensure that costing estimates are checked and the margin targets are met prior to submission to client. All to be filed accordingly.
- Engage with CGM should estimates not meet the required targets Meeting Management.
- Correlate diaries in order to schedule meetings with clients or internally (especially the brainstorming sessions) in a workable and practical order.
- Take and ensure detailed minutes at all meetings and distribute to relevant people timeously.
- Information Request.
- Request information needed from suppliers and from internal teams necessary for tenders.
- Follow up where necessary and ensure all deadlines are met Tenders and Reports.
- Prepare monthly reports on all workload principle activity.
- Ensure world-class bids/tenders/proposal that might help in the achievement of sales target through quality submissions which improve our conversion rations and report on that monthly. Source, write and compile tender responses which are bespoke to the target.
- Ensure all written work is free from errors and professionally presented.
- Ensure that all required documentation is included in tender/proposal and other submissions.
- Ensure agreed upon deadlines are adhered to.
- Ensure all cost estimates are within budget and checked by the relevant CGM and line manager Learning and Development.
- Continuously develop product knowledge, attend industry events/seminars/conferences and participate in supplier workshops, educational and trade shows.
- Keep abreast of industry trends.
- Attend exhibitions and trade shows where necessary.
- Personal development on destinations and new products.
- Actively source new products and creative ideas.

Profit Performance:

- Ensure all financial models sold to new business clients are at the required business level.
- Cost conscious mindset for TTS and the supplier.

Client Retention and Satisfaction
- Coordinate and respond to all client requests.
- Render best service level to clients (internal and external).

People:

- Build and maintain relationships with suppliers by networking and attending promotional events (ad hoc).
- Maintain and build relationship with internal division.

Technology & Systems:

- Travel IT.
- Internal Systems Proficiency.

Standard Operating Procedures(SOP):

- Full understanding of the SOP procedures, in line with ISO 9001.
- Full alignment to the TTS SOP (Standard Operating Procedure).

Policies and Procedures:

- Alignment to all TTS policies and procedures found on Dashboard as explained during induction.
- TTS code of conduct to be read, understood, signed and upheld.

Educational Requirements:

- Matric Certificate.
- Relevant 3-year Tertiary Qualification.
- English Proficiency (excellent written and verbal skills).
- Extensive SA and Regional Product Knowledge.
- Advantageous: LLB or similar law degree.
- Advantageous: completed articles/newly admitted attorney.

Experience in Years:

- 3 years’ experience in a similar role.

Required Knowledge:

- Strong organizational skills and attention to detail.
- Microsoft Word, Excel and Power Point
