The role of the Certification Intern is to provide day-to-day administrative support to the Certification business unit.

**Some responsibilities may include**:

- Plan all applicable audits for new and existing customers as per customers’ and scheme requirements.
- **Day-to-day administration and scheduling of certification and other audits that may be applicable, including**:

- Providing clients with quotes and ensuring required documents are received prior to the audit.
- Update and maintain the proposal register.
- Send out audit notification records to the clients timeously. Follow-up and ensure that clients have accepted the dates and the costs for every year’s audit.
- Ensure timely delivery of reports to clients.
- Ensure that latest information is always available on the Tracking Sheet for management reporting purposes.
- Implement and maintain an accurate and logical electronic filing system.
- Maintain all client audit files on the electronic system and ensure that the KPI’s of each part of the audit process is met.
- Ensuring activities are completed according to the scheme process flow.
- Data capturing.
- Travel and logístical arrangements of auditors.
- **Performing routine scheduling tasks with strict adherence to deadlines, attention to detail and accuracy, including but not limited to**:

- Diary management and scheduling of auditors.
- Maintenance and monitoring of audit dates in the diary/tracking sheet.
- Communicate with the auditor to confirm dates and share all relevant information with the auditor pertaining to the upcoming audit.
- Travel / logístical arrangements of auditors.
- Track reports from auditors and submit for technical review.
- Submitting accepted quotes to finance for invoicing.
- **General administrative duties, including**:

- Receiving and welcoming guests in a friendly and professional manner.
- Coordinate courier collections and deliveries where needed.
- Other administrative duties, as and when required.
- Ensure the best quality of execution of all outputs delivered.
- Deal with any queries received from clients, auditors and the certification team.
- Matric (Grade 12)
- No previous working experience required.
- Post Matric or recently graduated tertiary qualification (advantageous).
