Sales Officer Manager

1. Job Purpose
The purpose of the Sales Office Manager position is to complete all tasks associated with the sales department to ensure the smooth operation of the Johannesburg sales team.
2. Job Objectives and Functions
Office Administration
- Schedule meetings and appointments
- Partner with HR to coordinate new recruits
- Ensure all equipment is ready and functional for new recruits
- Organize office operations with Ops department
- Coordinate with IT on all office equipment and ensure it is functional
- Ensure that all invoices are paid on time
Customer assistance
- Answer and direct phone calls
- Resolve escalated issues.
- Give feedback on resolved issues to clients
- Follow up on non-resolved issue.
- Check stock availability.
- Ensure samples are fully stocked in the showroom.
- Coordinate coffee and muffin vouchers with showroom staff.
High Value Customer orders
- Create high value order request.
- Engage with the category Merchandiser to get quote from supplier.
- Share VIP quotes to the allocated RC/ RM
- Share Classic Customer quotes to the allocated RC.
- Escalate unresolved queries to ASM.
- Timeously Provide feedback to Customers
Branding Orders
- Confirm with customer if order is a deadline or urgent order.
- Liaise with the Planning department to determine capacity.
- Negotiate capacity with Production.
- Once capacity is negotiated, delegate back to sales capturer.
- Ensure payment is allocated to customer account.
- Communicate scheduling date with customer.
- Follow up with planning to confirm that order is progressing as planned.
- Escalation of tracked orders which are delayed.
Order Discrepancies (Back Orders)
- Sales Actions - Receive open order report.
- Check date of BO to determine ageing.
- Check if all BO have been cleared out of the system.
- Consolidate feedback and submit to Sales Executive & Area Sales Manager.
Order Discrepancies (Open Orders)
- Capture feedback from customer on open order.
- ** insufficient stock to fulfil the order.
- ** Bond stock required (Contact Sales Analyst).
- ** Production order - artwork outstanding.
- Provide feedback on status of all open orders.
- SOP daily action feedback to the Area Sales Manager
- Timeously analyse Data for SOP Meetings.
Customer complaints
- Determine the gravity and resolve the nature of the customer complaint by investigating and resolving the problem identified.
- Escalate unresolved matters to the ASM.
- Timeously inform the client on the status of complaint as and when it is being addressed.
People Management
- Monitor time and attendance daily.
- Provide weekly report of time and attendance to ASM.
- Manage leave of staff.
- Provide leave feedback to ASM weekly.
- Conduct performance management for staff.
Sales Administration
- Provide clerical support to the ASM
- Provide detailed feedback on SOP report from Power BI by liaising with the entire JHB sales team daily
- Maintain an accurate database of customer information
- Create and maintain shared files for the sales team
- Relay customer concerns or queries to relevant person
Sales analysis and reporting
- Pull different types of sales reports as and when needed
- Identifying problems with orders on the system and work with the sales team to resolve the issues.
- Evaluate sales data and identify opportunities for cross selling, upselling and branding and work with sales team member to execute.
- Responsible for analysing and presenting the effectiveness of sales campaigns and making recommendations on how to improve it
