Duties/Pligte
- As Chief Administrative Officer, you will be responsible for high quality office management and for providing administrative support to the Executive Head, including, but_
- not limited to, the following duties:_Diary management, commitments, and making travel arrangements;-
- Scheduling meetings and conference calls, including coordinating and managing all meeting logistics, developing agendas, meeting materials and additionalrequirements with various internal and external stakeholders;Providing high quality support to the Departments Management Committee;-
- Maintaining and capturing publication outputs;-
- Maintaining and updating the Departments social network profile;-
- Processing all incoming and outgoing correspondence, communications and confidential documents;-
- Drafting correspondence to all levels within the Faculty, as well as to external stakeholders;-
- Assisting in the preparation of reports and presentations;-
- Recording, transcribing, and distributing notes/minutes of meetings timeously, and providing other daily support to staff as needed;-
- Supervising the administrative staff who are responsible for financial and asset management, undergraduate teaching and learning activities, postgraduateteaching and training, and the postgraduate research programmes;Performing other ad hoc duties as assigned by the Executive Head of the Department.Job Requirements/Pos Vereistes- Relevant tertiary qualification;- More than five years well-grounded administrative and office management experience at an executive level;- Excellent verbal and written communication, networking and organisational skills with attention to detail;- Demonstrated ability to manage complex tasks and prioritise competing demands in order to meet deadlines;- The ability to function effectively in a variety of roles within a complex and dynamic environment;- Advanced computer literacy, including Word, Excel and PowerPoint skills.
Recommendation/Aanbeveling- Experience within a higher education / research / national system of innovation environment;- Experience with Stellenbosch Universitys human resources, financial and academic systems;- Experience and willingness to learn more about e-learning and technology assisted teaching an training;- Willingness and availability to work extra hours if necessary;- Willingness to travel out of office for meetings.
