**Job description**
**Shop Assistant Manager.**
A shop assistant manager may also be referred to as a branch manager or retail store manager.
The Shop Assistant Manager will be responsible for overseeing the day-to-day running of the retail store.
The main responsibilities include: meeting sales targets, ensure customer satisfaction by maximizing the customer’s experience.
**_Reporting structure_**
The Shop Assistant Manager will report directly to the Business Unit Manager (BUM)
**_Duties of a Shop Assistant Manager_** **include but are not limited to**:
**1. Quality**
**_1.1 Staff Courtesy_**
- Oversee that staff is well groomed, and have the necessary respect toward customers, fellow employees and management.
**_1.2 Customer experience_**
- Secure good relationship and future business with clients
- Understand Customer expectations and are able to meet expectations. Employees should be trained and knowledgeable about all products in the store
- Point of sale staff should provide a fast and reliable service
- Dealing with queries, complaints and feedback
- Maintain store Esthetics: clean, visually appealing and well maintained
**_1.3 Coffee shop_**
- Maintain health and safety regulations
- Ensure hostesses are well trained, work fast and attend to orders accurately and promptly
**2. Safety**
**_2.1 Stacking and Storing_**
- Ensure all products are stored and stacked that poses no risk to staff and clients
- Ensure staff make use of a step ladder to reach objects on out of reach shelves
**_2.2 Floors and barriers_**
- Floor surfaces should be free of tripping hazards and well maintained
- Barriers should be well secured and maintained
- Ensure a Wet Floor signage is displayed when floors are being cleaned
**_2.3 Emergency exits and fire equipment_**
- Oversee that scheduled maintenance is done on fire equipment and the Emergency exit signage is visible
- Ensure emergency exits are not obscured and easily accessible
**_2.4 Elevator_**
- Ensure the inspection and service of the elevator is done as per schedule
- Members of the public should be assisted to make use of the elevator
**_2.5 Waste Management_**
- Ensure waste is stored safely in the allocated area and removed on a regular basis

**_3.2 Stock Management_**
- Conduct Quarterly and Annual stock takes
- Manage returns and refunds
- Stock files are kept organized and updated
- Stock levels to be monitored and replenished according to minimum and maximum stock levels
**_3.3 Sales targets_**
- Calculate monthly sales targets
- Organizing sales promotions and in-store events
- Maintaining awareness of market trends and monitoring what competitors are doing
**_3.4 Banking and Cash up_**
- Daily banking
- Oversee the daily cash up procedure
**_3.5 Stationary_**
- Monthly ordering of stationary according to operational requirements. **_Pre approval is required_**
- Stock levels on Printer cartridges to be maintained
- Ensure responsible use of stationary items
**_3.6 Consumables_**
- All consumable must be ordered and stock levels must be managed according to operational requirements and pre approval
- Prevent wastage of products
**_3.7 Petty cash_**
- Oversee the petty cash process
- Keep accurate record of cash spent
**_3.8 Electricity, water and sanitation_**
- Billing need to be checked and forwarded to management for payment
- Ensure responsible consumption of water and electricity
- Switch air-conditioning off at the end of business hours
**4. Security**
**_4.1 Access control_**
- A security guard should be posted at the entrance, controlling entry and exit to the shop
- Oversee lock up and alarm system activation at the close of business
**_4.2 CCTV monitoring and Alarm system_**
- Ensure CCTV cameras are functional and monitored
- Ensure the alarm system is functional and the pin code is protected
**_4.3 Key Management_**
- _Safe keys need to be locked away in a secure plase_
**5. Legal Compliance**
**_5.1 Safes_**
- _Stock in the Safe and stock on the system needs to correspond with Blue book_
- _The Safe should be kept neat and organized_
**_5.2 Blue book_**
- _Blue books must correspond with the stock in the safe and stock on the system_
- _Blue books to be balanced daily_
**_5.3 Storing of fire arms and ammunition_**
- _All guns, ammunition, and primers must be locked in the safe after close of business._
**6. Staff Management**
- Overseeing new recruits and training of employees
- Ensure staff has a clear understanding of their job descriptions and associated expectations
**_6.1 Staff scheduling_**
- Prepare monthly staffing schedules for approval 2 weeks before the start of the new month
