**Position Title**:Executive Personal Assistant
**Reporting to**:Managing and Operations Directors
**Based at**:Midrand Head Office
**Job Purpose and Overview**:
The purpose of the Executive Personal Assistant is to provide support to the Executive Office and conduct general office duties. This role represents the executive suite of the organisation and is critical to the structure and administrative quality at all times.
**Responsibilities**:
- Act as the point of contact among executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner
- Manage executives’ calendars and set up meetings
- Make travel and accommodation arrangements
- Ensure office stock and supply is replenished and controlled
- Take minutes during meetings
- Screen and direct phone calls and distribute correspondence
- Organise and maintain the office filing system both digitally and paper-based
- Receive visitors and guests for meetings
- Receive office deliveries
- Ensure continuous flow of communication within the business
- Assist with administrative tasks where required within deadlines and with accuracy
- Perform personal duties for the exec office where necessary including but not limited to:fetching children from school
Shopping
- Other errands
**Qualifications/Experience**:
- A proven track record of at least 3 years of experience in a similar role for a bigger or similar-sized organisation
- A tertiary qualification in an office administration field is preferable however experience will override
