**Job Summary**:
- The Front Office Coordinator serves as the face of the organization, welcoming visitors, clients, and employees while ensuring smooth day-to-day operations of the front desk. This position involves managing administrative tasks, coordinating communication, and maintaining a professional and organized front office environment.
**Key Responsibilities**:
- Front Desk Management:
- Greet and welcome visitors in a friendly and professional manner.
- Answer and route incoming calls promptly and accurately.
- Maintain a clean, organized, and presentable reception area.
- Visitor Management:
- Register and manage visitor access by following security and company protocols.
- Notify staff of guest arrivals and ensure proper guidance to meeting locations.
- Administrative Support:
- Handle incoming and outgoing mail, courier services, and deliveries.
- Schedule and coordinate appointments, meetings, and conference room bookings.
- Assist with clerical duties such as data entry and record maintenance.
- Prepare purchase orders on the accounting software and follow up on payment of those orders.
- Sending proof of payments to close the loop.
Communication Coordination:
- Act as a liaison between clients, visitors, and staff. Office Administration:
- Monitor office supplies and coordinate restocking as needed. Collaboration:
- Work closely with various departments to ensure smooth office operations.
**Requirements**:
- Completed grade 12 or equivalent.
- Proven experience as a receptionist, front desk representative, or in a similar role.
- Friendly and professional demeanor with a customer-focused approach.
- Strong organizational and multitasking abilities.
- Strong command of English language
- Ability to speak additional South African languages is advantageous
- Excellent verbal and written communication skills.
- Proficient in office software (e.g., Microsoft Office Suite, Google Workspace).
- Ability to handle confidential information with discretion.
